About the Team The Financial Services Group Management Services (GMS) is a large team, comprising of 5 Personal Assistant’s that sits at the heart of the Group. FS is a busy and exciting Group to work in and the primary function of the GMS is to ensure that the Group c.160 is provided with excellent administrative/business support; and that the Group Management Team (2 Directors’ and 10 Deputy Directors) receive first class PA/business support. The collaborative nature of the GMS team means that new ideas are always encouraged and there are lots of opportunities to develop and re-shape processes that benefit the wider team/Group. About the Job The post holder’s key objective will be to support the Head of Group Management making the FS Group more effective and a better place to work. Key accountabilities are: 1. Provide direct management, leadership and coaching to five members of the GMS, by supporting the team to take initiative and ownership of work, supervising performance and providing feedback to aid development. Tailor your communication style and approach flexibly and sensitively in order to successfully lead and motivate a diverse group and get the best out of very different people and ensure a quality service is sustainable and consistently provided across the Group. You will be responsible for the management of the resources of the GMS unit ensuring that PA cover is fully supported, and a willingness to undertake these duties personally as required. 2. Support the Head of Group Management, and GMT in the operational management of compliance across a range of multi-faceted and important departmental processes — such as performance and talent management processes, reward schemes, day-day finance, and business continuity and other corporate initiatives, and they are delivered promptly, presenting urgent and relevant information to the Head of Group Management and more widely as required. Comfort working in a fast-paced environment, with the ability to structure, plan and prioritise a full workload across a diverse and dynamic portfolio. You should be able to deliver consistently high-quality work to a deadline and actively support your colleagues. 3. Lead on the Group’s Correspondence Management on a day-to-day basis ensuring correspondence cases are triaged to policy officials and systems are in place to tightly manage these in order to meet the departmental deadlines and responsibility for pulling together meaningful statistics to support the GMT Management Information meetings and providing solutions to improve the Group’s overall performance. 4. Act as the interface by designing and delivering internal communications across the Group, ensuring messages are delivered effectively. Act as an effective ambassador and representative at all times, handling the information flow and providing informed advice on Group and corporate priorities in a timely manner. 5. Lead on the Group’s business operational requirements including managing the induction for new starters and responsibility for maintaining the group’s Sharepoint site, and ensuring central processes for joiners/leavers are developed and maintained, administration of group events and training etc About You You will have a successful track record of managing, motivating and developing diverse teams setting a great management example and sharing ownership for individual and professional development. You will apply good judgement, common sense and discretion in making decisions and solving problems on behalf of senior colleagues and knowing when to escalate. Be able to successfully manage a full and varied workload via effective planning and prioritisation; delegate effectively while monitoring progress against milestones and reassess workloads and priorities to handle conflicting demands.
