Description

A rare opportunity has opened up for an experience HR & Recruitment Administrator to join KOOSA Kids Head Office Team on a part-time basis (24 hours per week)

Reporting into the Head of Business Services, and supported by the HR Coordinator, the HR & Recruitment Administrator will support the Human Resources department and wider business with all aspects of KOOSA Kids HR & Recruitment administration.

Your main responsibilities will include managing the shared HR and Payroll email inboxes, scheduling reviews for our full time and term time staff, supporting the monthly payroll process by accurately maintaining records of new starters and leavers and other elements affecting payroll, staff database management, DBS and References process management, supporting the recruitment and onboarding of new colleagues, uniform management and utilising your Excel skills to maintain a number of regular reports, as well as other general HR & Recruitment support.

A proven background in administration, including intermediate level Excel skills, strong communication skills and outstanding people skills are a must. Experience working in a busy HR or recruitment role would be an advantage.

This exciting part-time role is fully office based, from our Head Office in Camberley, Surrey (GU15 3YX), working Monday to Thursday 9.30am to 3.00pm and Friday 9.30am to 2.00pm, 24 hours per week (timings include a 30-minute lunch break).

Fully Ofsted registered, KOOSA Kids are one of the UK's leading providers of holiday, after school and breakfast club childcare for children aged 4 to 13, directly operating over 50 clubs across Berkshire, Hampshire, Greater London & Surrey, employing 400+ staff and a commitment to delivering outstanding quality, affordable childcare.

At least 2 - 3 years proven experience working in an office-based HR or Recruitment administration role required. A full driving licence with access to your own car each day is essential.

Hours:
Monday to Thursday 9.30am to 3.00pm and Friday 9.30am to 2.00pm (24 hours per week).

Salary:
£27,000 per annum, pro-rata

Key Responsibilities

Under the direction of the Head of Business Services and the HR Coordinator:
Manage the shared HR and Payroll email inboxes, ensuring effective management or escalation of queries and timely responses to enquiries
Support the employee referencing process, ensuring compliance at all times to Ofsted's Safer Recruitment policies and that KOOSA Kids hold at least two relevant references for each employee.
Support the onboarding process for new starters, including but not limited to sending & ensuring timely return of offer and compliance paperwork, holding onboarding meetings and processing DBS application
Maintain staff database and personnel files to the highest level of data integrity.
Ensure employee Disclosure and Barring Scheme (DBS) checking processes are carried out in a timely and efficient manner and in-line with company and Ofsted requirements, ensuring all employees at all times hold a current DBS.
Support the monthly payroll process by accurately maintaining records of new starters and leavers and other elements affecting payroll
Utilise your Excel skills to maintain a number of regular reports to support HR processes and functions, including but not limited to payroll, compliance training, staff availability & rota scheduling, Training & Development and recruitment
Scheduling reviews for our full time and term time staff and ensure review paperwork is accurately managed
Support management of staff uniform process
Manage the birthday card process
Scanning and filing of new colleague packs and other HR and Recruitment related paperwork.
Support with any other general HR & Recruitment administration tasks
Main Duties – Recruitment
As and when required during busy periods or to provide cover during team absences, support the full end-to-end recruitment lifecycle for KOOSA Kids. Assist in the sourcing, screening and on-boarding of full-time, part-time and casual staff for KOOSA Kids holiday, after school and breakfast clubs

Skills, Knowledge and Expertise

At least 2 - 3 years proven experience working in a HR or Recruitment related, office-based administration role
Strong organisational and administrative skills
Exceptional communication & interpersonal skills
Confident IT user, including MS365, Outlook, Word and Teams
Stong Excel skills - Intermediate level or higher
A fun and energetic nature with a proactive, can-do attitude
Full driving license with access to your own vehicle (essential)
Be people centred, empathetic and lead by example
Be able to motivate others to deliver to the highest standard
Have the ability to be cleared for an enhanced DBS check
