Administration Assistant

Anopportunity has arisen for an experienced Band 2 Administrator to join one ofour Neighbourhood Teams in Redditch.
The NightingaleNeighbourhood Team is a fast paced, forward thinking, friendly, hardworking,dynamic team that is continuously looking to improve and develop as the demandfor the service we deliver changes. Weare seeking to appoint an administration assistant to support the teamconsisting of Community Nurses, Physiotherapist, Occupational Therapists,Healthcare Assistants and Administrators working with GP and Social Carecolleagues.
We will provide you with resources to develop and progress, aswell as flexibility, continual professional development and a wide range ofwellbeing and support. This is afull-time opportunity available. Thiswill include being part of a bank holiday and weekend rota.

Main duties of the job
This is a busy service, each dayvaries. Your main role will be to be the first point of contact for patienttelephone calls whilst manning a busy inbox. You will need to take messages/referralsclearly and use initiative to deal with information that is both confidentialand sensitive whilst occasionally distressing in nature.
On rotation you will also berequired to undertake reception duties, manage an online prescription servicewhich includes the packing of orders placed by staff members for patients andaction reports when required.
You will also support the widerteam with administration tasks including supporting on our Electronic PatientRecord System EMIS ensuring all information is kept accurate and concise,actioning referrals and planning home visits.
You will also be taking callsand dealing with clinical team members and supporting them with sharing ofpatient information and use of information technology.
You will provide a full range ofadministrative support to the whole team. You must have excellentcommunication, organisational and IT skills.

Job responsibilities
You willbe required to:
Undertake administration/secretarial dutiesthat are specific to the role.
Undertake general office duties, as required,e.g. typing, data inputting, filing, scanning and copying in line with TrustPolicies and Procedures.
Arrange and confirm appointments, makingappropriate arrangements e.g. hospitality, equipment, etc.
Answer/deal with both face-to-face andtelephone and email enquiries.
Deal with incoming and outgoing mail.
Manage and prioritise own workloadeffectively.
Maintain accurate,contemporaneous, and complete records in accordance with the Trusts policy andguidelines for records and record keeping
Be a team player and not only be able to workindividually but also supporting those within your team.

Person Specification
Knowledge
* Working knowledge of Microsoft Office: Word, Excel, Outlook
* Understanding of the Data Protection Act and NHS Code of Confidentiality
Qualifications
* Educated to academic Level 2 (e.g. GCSE Grade A-C, NVQ2, OCR/RSA2, City and Guilds 2) in a Business Administration-related subject or Considerable recent NHS administrative experience and will be expected to undertake the relevant level 2 qualification on appointment to post
* I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
Skills & Abilities
* A positive attitude and able to act on feedback

* Good organisational skills
* Ability to communicate clearly and effectively in English in both verbal and written formats
Experience
* Recent, relevant experience in an Administrative/Secretarial/ Reception Role
