Description

Provide administrative support to the SEN Practitioner and the Director of ALS & Supported Learning, in order to fully support students with SEN needs, comply with all relevant College policies and procedures and ensure efficient administration of high needs funding processes.

Interviews are expected to be the 19th August.





Main Responsibilities and Duties:

The following is an indication of the type and level of the main priorities expected of this role as directed by your line manager and is not intended to be a comprehensive list of duties or tasks:

1. Create agendas, organise supporting reports and briefing papers for meetings, liaising with the line manager, lecturers, students, parents, and other support staff as appropriate. Ensure proper notice is given, agendas and supporting papers are issued in a timely fashion, and minutes are recorded accurately.

2. Support the department with recruiting and retaining students by implementing and reviewing relevant SEN administrative procedures.

3. Administer and track Education, Health, and Care Plan (EHCP) consultations from local authorities, ensuring responses are timely, accurate, and in line with College policies and funding requirements.

4. Operate relevant College information systems appropriately, checking information for accuracy, running reports, identifying causes for concern, and raising any issues with the appropriate person, maintaining appropriate ALS records and systems, ensuring compliance with funding requirements and key performance targets.

5. Ensure clear links are maintained with support departments, in particular MIS, Admissions, and Finance, to support accurate data management and funding processes.

6. Provide a full administrative service for the SEN Practitioner, ensuring systems are periodically reviewed to improve efficiency and best practice.

7. Actively participate in parent evenings, enrolments, and other student support activities. Act as a first point of contact for students, noting student enquiries and taking appropriate action or passing them on to the relevant person.

8. Assist the Director of ALS & Supported Learning in preparing, maintaining, and submitting funding claims and other related documentation to ensure compliance with funding regulations and to support financial sustainability.

9. Periodically assist with departmental activities under the guidance of the Director of ALS & Supported Learning to support the efficient running of the department and to ensure the College remains compliant with funding regulations and maintains high data quality.

In addition, all post holders will be required to be trained to act as Fire Marshals and First Aiders.
