Receptionist / Administrator (Care Coordinator)
Job Summary
We are looking for full‑time and part‑time Receptionists/Administrators (Care Coordinators) to support the practice teams at two locations in Faversham.
Shift pattern includes Monday 8a‑2p, Wednesday 1.30‑6.30, Thursday 1.30‑6.30, Friday 8a‑6.30, Friday 2p‑8p, Saturday 8a‑2p, Saturday 2p‑8p.
Responsibilities
* Provide general assistance to the practice team and project a positive and friendly image to patients and visitors.
* Receive, assist and direct patients to the appropriate healthcare professional in a courteous, efficient way.
* Perform a variety of administrative duties to support clinical staff and the practice team.
* Manage repeat prescribing, medicines optimisation, medication enquiries and triage to maximise patient outcomes.
* Facilitate communication between patients, primary and secondary care teams and associated health agencies.
* Process appointments, visits and telephone consultations; direct callers to the appropriate professional.
* Process and distribute mail, take messages, file and retrieve paperwork.
* Scan and manage documents (post, new patient notes, archived notes).
* Maintain the reception area, notice‑boards and leaflet dispensers tidy and uncluttered.
* Assist with housekeeping duties: serving refreshments, cleaning the kitchen area, restocking stationery, and maintaining indoor plants.
* Assist with health and safety, infection control and safeguarding responsibilities as per practice policies.
Qualifications & Experience
* Experience in primary care, NHS or a caring profession.
* Experience using scanning equipment or mass‑scanning procedures.
* Familiarity with EMIS clinical software.
* Experience dealing with patients and the public.
* Some general administration experience.
Essential Personal and Professional Traits
* Good sickness record (max 3 events in the last 12 months).
* Excellent verbal and written communication skills.
* Strong organisational and problem‑solving skills.
* Willingness to wear a uniform if required.
* Punctual and ready to start work at the scheduled time.
* Flexible approach to overtime, extra hours and covering absences.
IT and Knowledge
* Good IT skills, including Microsoft Office (Outlook and Word), internet browsing and email.
* Ability to work effectively in a changing environment and under pressure.
* Previous use of a database is desirable.
* Knowledge of confidentiality, safeguarding and safeguarding training is desirable.

Remuneration and Conditions
Band: Band 2. Salary: £25,272 a year. Contract: Permanent. Working Pattern: Full‑time or Part‑time.
