Role Description
This is a full-time on-site role for an Operations and Client Coordinator located in Staveley, Cumbria. We are seeking a highly organised and proactive Operations and Client Coordinator to support the operational and administrative needs of the business. This role will aid in streamlining internal workflows, enhancing client communications, and ensuring effective coordination across the team. Working closely with the founder, the successful candidate will oversee scheduling, manage the client journey, coordinate calendars, and act as a key point of contact for client enquiries and updates. The role also includes administrative oversight of Continued Professional Development (CPD) events and conferences, as well as internal communication around team logistics. This is a dynamic position suited to someone who thrives in a fast-paced environment, is confident in managing priorities, and brings a structured approach to supporting both internal operations and client-facing activities.
Key Responsibilities
Workflow and Scheduling
* Coordinate internal meetings, ensuring agendas are prepared and follow-ups are actioned.
* Plan and schedule daily case workflows across the team.
* Oversee team calendars to ensure operational alignment and visibility.
* Manage the founder’s calendar and inbox, prioritising communication and drafting responses as needed.
Communication and Client Support
* Serve as the first point of contact for client enquiries, providing updates and scheduling calls.
* Triage queries to the appropriate team members while maintaining professional client engagement.
* Aid with compilation and distribution of external communications, including newsletters and client updates.
* Maintain a working understanding of Vet3D’s services to address general client questions (training provided).
Administrative Coordination
* Assist with organising CPD events and conferences attended by Vet3D, managing logistics and communications.
* Communicate internal updates.
* Provide administrative support across the business as required.
Executive Support
* Provide administrative support to the founder, enabling focus on strategic and technical priorities.
* Maintain discretion and professionalism in handling sensitive communications.
* Confidently guide scheduling and prioritisation to ensure efficient use of time and resources.
Candidate Requirements
* Highly organised with strong attention to detail.
* Strong customer service skills and a professional manner.
* Excellent written and verbal communication skills.
* Confident in using technology, including practice management systems (PMS).
* Proficient with standard office software (Microsoft 365 / Google Workspace) and quick to learn new systems.
* Ability to manage social media would be beneficial.
Experience
* Prior experience in customer service and administration essential.
* Familiarity with veterinary environments advantageous but not essential.
