Are you a highly organised Administrator seeking to join a supportive and compassionate team? The Integrated Bournemouth East Community Mental Health Team is looking for an Administrative Assistant to provide essential support to a multidisciplinary team, ensuring the smooth running of daily operations and patient-related administrative tasks.
Key Responsibilities
* Deal with telephone enquiries, relatives, carers, GPs, and other agencies, maintaining good communications between staff members of the Trust, GP Practices and outside representatives with discretion and confidentiality.
* Attend meetings as required and take and transcribe formal minutes at meetings.
* Access team diaries, plan and organise activities and events including meetings and multi-disciplinary meetings with internal and external organisations as requested.
* Ensure letters, memorandums and reports are of high quality, complete in terms of presentation and accuracy and adhere to Trust Policy and guidelines.
* Make patient appointments effectively and in a timely manner using the Electronic Patient Record.
* Maintain accurate information on patient record systems, databases and spreadsheets.
* Accept referrals from a range of sources, screen for appropriateness, gather information and register on the patient record.
Qualifications & Requirements
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Experienced in minute-taking, audio and copy typing.
* Strong attention to detail, ability to work under pressure and excellent communication skills.
* Experience using clinical systems such as RiO.
* Employment in this post requires a Standard Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of.
* Applicants who subscribe to the DBS update service can present a valid DBS certificate instead of requiring a new check.
* Applicants requiring current Skilled Worker sponsorship to work in the UK are unfortunately ineligible to apply for this position.
