Key Responsibilities:

Ensures proper flow of office procedures and supports the Head of Facilities and Administration team by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

Duties include:

1. Communicates with Egencia to produce travel itineraries for business directors and employee events.
2. Order taxis and arrange car hire as required.
3. Manage the refreshments for visitors, including coffee machines, snacks and consumables.
4. Approve and allocate meetings rooms as appropriate. Ensuring they are left clean and tidy for the next user and usage guidelines are met.
5. Manages correspondence by answering emails and sorting mail.
6. Assists in planning and arranging events, including organising catering.
7. Manages reception area and looks after visitors.
8. Answers phone calls and transfers them as necessary.
9. Supports the part time receptionist.
10. Produce draft documents, format and print as required.
11. Maintains stock lists and orders office supplies as needed.
12. Scans and files appropriate documents as needed.
13. Raise purchase orders as required.
14. Carrying out such other duties reasonably falling within the scope as maybe required by the company
15. Make arrangements for parcels to be sent and collected.

Skills, Knowledge and Experience:

16. Prior Office Management Experience Preferred
17. Strong Attention to Detail
18. Ability to Work Without Supervision
19. Excellent Time Management Skills
20. Exceptional Communication and Customer Service Skills
21. Technical Skills, Including Proficiency with Microsoft Office Programs
22. Strong Prioritisation and Organisation Skills
23. Ability to multi-task
