The Office of Registration and Operations has an opening for a Administrative Specialist in the Division of Registration, Business Registration Branch. We are seeking a highly motivated individual to provide clear communication and negotiation skills with taxpayers and their representative over the phone and occasionally in person to resolve tax matters.
As an Administrative Specialist for the Commonwealth of Kentucky, you will receive the direction, and the training to effectively manage compliance data imports, generate letters to taxpayers, and review various forms of correspondence for the Registration Branch, including returned mail, emails and letters received from taxpayers.
1. Responsibilities include, but are not limited to:
* With minimal assistance, independently imports compliance data or manually inputs information from diverse sources into the relevant systems to create Compliance cases, while also producing and generating corresponding letters timely.
* Under supervision, assesses compliance cases to ascertain tax account liability, evaluates errors, omissions, and discrepancies identified by the Division from various sources, and records appropriate notes in the compliance cases.
* Processes and investigates returned mail for the branch, utilizing income tax database, driver’s license, and Lexis Nexis as information sources. Documents the source and updates compliance cases with the researched data, reissuing correspondence as required.
* Evaluates and prioritizes relevant worklists, carrying out administrative tasks promptly and accurately. Additionally, acts as a backup for other web response boxes within the Division with minimal assistance.
* Under supervision, conducts routine application updates and maintenance tasks in a timely manner with basic- level accuracy. Demonstrates basic knowledge of computer applications and the necessary maintenance procedures.
* Maintains inventory and office supplies to support daily branch operations. Monitors office equipment and reports necessary repairs, while also assisting in the collection and secure disposal of documents for shredding throughout the branch.
* Performs other duties as required.
2. Additional / Supplemental information:
* Required to successfully complete a background investigation including an FBI criminal history record check (fingerprint check).
* Required to comply with all tax laws.
* Work will be performed mostly at a desk using a computer and telephone.
* Some travel for training and education.

* EDUCATION: Graduate of a college or university with a bachelor’s degree.
* EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
* Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
* Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
