Job Summary/Purpose

The purpose of this role is to deliver an efficient, customer-focused and professional PA service to the Head of Function. Represent the values of the organisation to internal and external stakeholders.

* To manage the end-to-end purchase invoice process for the IT Department.
* To oversee and manage all aspects of the FM provision for the IT office and training/meeting rooms located at One Central Boulevard.
* To line manage the Reception Team (permanent and contract members).
* To be an active member of the IT Leadership Team.
* To ensure the effective and accurate processing and organisation of the Head of Functions, correspondence, emails, telephone calls, diary and travel management and system administration, as well as interacting and liaising with PLC Board and GMT members and their Personal Assistants.


Primary Responsibilities

* Management of the IT purchase invoice process:
* Accurately receive, verify, analyse and process incoming invoices via the approval process, to meet monthly commitment dates.
* Reconcile supplier statements and work collaboratively to resolve discrepancies.
* Maintain a well-ordered invoice tracker where all invoices and invoice movement are accurately recorded.
* Efficiently handle supplier payment queries to ensure positive supplier/company relations are maintained.
* First point of contact for internal invoice queries.
* Lead and manage all aspects relating to One Central Boulevard:
* Line Manager responsibilities for the reception team.
* Oversee end to end process for event bookings, ensuring events are prioritised correctly, well organized, accurately resourced and well managed.
* Ensuring H&S is at the forefront of all aspects of the floor space, including adequate provision of Fire Marshal/First Aiders for all events.
* Negotiating and managing contracts and agreements related to the running of OCB.
* Building relationships with the Landlords FM and associated staff to ensure best outcome as tenants of OCB.
* First point of contact for approval for remedial works to the floorplate.
* Assist IT Director to manage IR35 compliance for contract members of the team.
* Participate fully as a member of the Leadership Team, attending weekly and monthly meetings, be willing to be vocal and to provide constructive challenge within the framework of the meetings.
* Reviewing all correspondence including e-mails; sorting, prioritising and replying as necessary for the Heads of Function.
* Providing professional responses to both verbal and written correspondence (which could include high level stakeholders, government officials), in a timely and professional manner.
* Full effective diary and travel management, anticipating challenges and applying judgement to priorities.
* Booking accommodation, meeting rooms and venues, providing refreshments and arranging hospitality, as necessary.
* Arranging large meetings, conferences, and social events.
* Document preparation - Board level papers, reports, general correspondence, meeting agendas, PowerPoint presentations etc.
* Collecting, collating and analysing information as required by the Heads of Function
* Interaction and liaison with internal and external customers as necessary, being a professional point of contact.
* Implementing and maintaining procedures and processes to improve service delivery to all key contacts.
* Taking meeting notes, identifying actions, and following up without being prompted, as and when required.
* Arranging training for members of the team.
* Building and upholding effective working relationships with the PLC Board and General Management Team and their PA’s.
* Building and maintaining good relationships within the Function and with the wider TW (Taylor Wimpey) Team.
* Maintaining open and frank lines of communication between all internal/external customers.
* Any other duties as required to meet the needs of the Heads of Function.
* Understanding and optimising the use of IT in delivering the services outlined above.
* Additional team support as required, including support reception duties at One Central Boulevard.


Experience, Qualifications, Technical Requirements

* Must be a self-starter and a decision maker
* Proven PA experience at Board Level.
* Experience of working in a fast paced, corporate environment.
* Competent knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and other related software applications.
* Excellent organisational skills and attention to detail.
* Excellent note-taking skills.
* Ability to prioritise, manage time effectively and work under pressure to meet tight deadlines.
* Professional and able to build effective working relationships.
* Ability to work under pressure and demonstrate complete confidentiality.
* Working knowledge of financial processes
* Facility Management experience
* Comfortable working independently and able to travel when required.
