Spire Norwich Hospital are looking to bring on a Consultant Compliance Coordinator to join their established team on a full time, permanent basis! The purpose of this role is to coordinator Consultants practising privileges ensuring the Hospital adheres to the regulatory and governance guidelines.
Duties & Responsibilities:
1. In order to ensure SNH complies with current legal, regulatory and professional requirements, manage the maintenance of both the Consultant excel database and SAP database. Proactively communicate with Consultants to ensure accurate/up to date paperwork is obtained/uploaded to SAP within required deadline. Address any non-compliance promptly and support HD/DoCS with suspension/lapse process. Maintain awareness of any suspension/withdrawal of Consultant PPs and ensure database/SAP/Datix updated accordingly. Maintain awareness of Spire-connected consultants and monitor completion of mandatory training and timely completion of appraisals in conjunction with central Medical Governance team. Support the Consultant Biennial Review process to ensure necessary paperwork is available in advance of quarterly MAC meetings. Ensure up-to-date communication circulated to relevant hospital staff, in the event of Consultants PPs being amended. Ensure up-to-date cross cover details are maintained for all consultants. Provide monthly updates on PP status for HMT meetings, and quarterly updates for MAC meetings and Clinical Governance reports. Be aware that failure to maintain up-to-date records may result in adverse comments in the event of a regulatory inspection. Ensure the weekly compliant report is 100% for the hospital.
2. Support the HD with Med 06 and ensure process efficiently managed.
3. Support the Consultant application process by distributing documentation in a timely manner when requested. Where an application is declined, ensure the Consultant receives a suitably professional response in a timely manner.
4. Consultant Induction process – support/follow the new corporate induction process which is currently being prepared.
5. Support the implementation process of any updates to the Consultant Handbook, to ensure regulatory compliance is maintained at SNH.
6. Manage all other processes relating to the consultant administration, including but not restricted to – distribution of appraisal datasets on a monthly basis, collating private patient feedback to support revalidation, taking appropriate action for Intervention Ratio Data Outliers annually, maintaining up to date soft intelligence log and MAC Chair engagement log, distributing verbatim patient comments monthly, maintain awareness of consultant owned equipment and support Medical Device Manager with paperwork, maintain up to date Alert log.
7. Manage same processes for Clinical Specialists and Private GPs.
8. Maintain up to date documentation for Theatre Assistants and Doctors in Training.
9. Attend and prepare the Daily Huddle on Thursday/Friday weekly.
10. In the absence of the PA to the HD and working alongside the Secretary to DoCS, assist with cover to the HD.
11. Provide ad-hoc support with MAC and HMT meetings and act as minute taker in the absence of the PA to the HD.
12. Provide support to PA for any Hospital functions.
What we are looking for:
13. Proven experience in an administrative, project or secretarial role
14. A touch typing speed of at least 50wpm
15. Good working knowledge of Microsoft Office packages
16. Familiarity with using the internet and undertaking web based research
17. A good level of education to at least O Level/GCSE standard
18. Good verbal communication skills
19. Good business writing skills
20. Attention to detail
21. Confident and professional telephone handling skills
