About the Role
To provide an effective, efficient and professional support service to all internal and external customers, whilst monitoring costs and quality of service. Assist the company in the delivery of its key objectives in compliance with the quality management systems.
About You
We are after someone who is exceptionally organised, proactive, and loves multitasking. A strong communicator who can build great relationships across all levels. Passionate about creating a vibrant, efficient workplace and confident using Microsoft Office (and quick to pick up new tools). Someone who is able to work as part as a team and collaboratively and co-operatively with the ability to establish rapport and good working relationships within the office
In the role of Office Co-ordinator, we’ll count on you to handle duties including (but not limited to):
1. Assisting with raising Purchase Requisitions
2. Ordering supplies for the office
3. Liaising with clients regarding invoices
4. Receiving and processing invoices for accounts
5. Assisting Directors – Creating job folders and organising Project Start up meetings
6. Point of contact for landlord in Glasgow
7. Glasgow office point of contact for IT issues
8. Point of contact for HR issues in Glasgow office
9. Point of contact for Health & Safety for Glasgow
10. Oversee Office Risk Assessment for Glasgow office
11. Glasgow facilities management
New staff inductions for Glasgow office
12. First Aid representative
13. Fire Warden
14. Reviewing and assisting with renewing office contracts for Glasgow office
15. Ensure staff PPE stock levels are being monitored and recorded
16. Assist with booking travel
17. Assist with inputting expenses for Directors
18. Maintain client contacts in Oscar
19. Assist with archiving of filing
20. Credit card reconciliation
Required Qualifications
21. Educational qualifications to GCSE or higher
22. Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
23. Flexibility and ability to prioritise and handle multiple tasks and various managers in a fast-paced environment
24. Self-motivated, well-organised and detail-oriented
25. Ability to handle confidential information
26. Proficiency with MS Office including Word and Outlook
27. An attitude and commitment to being an active participant of our employee-owned culture is a must
