Purpose of the role:
The Receptionist is the first point of contact for visitors calling or visiting our client’s busy legal office in Edinburgh and serves as a brand ambassador. Duties include welcoming clients and visitors to the office, handling switchboard calls, organising and preparing hospitality, and offering administrative support to the firm. Every task undertaken must be delivered with an exceptional customer service approach, ensuring a seamless service for clients.
A successful Receptionist should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They should be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This role requires working in shifts, so flexibility is a plus. This is a hands-on role and will involve working alongside team members to deliver an overall exceptional service to our clients.

Key responsibilities
1. Switchboard and hospitality experience strongly preferred
2. Meeting, greeting, and interacting with visitors, tenants, and contractors
3. Organising and setting hospitality for client meetings
4. External and internal call and email handling, including taking and passing on accurate messages
5. Updating logbooks and schedules
6. Processing deliveries
7. Ordering, organising, and assisting with events
8. Troubleshooting facility problems
9. Populating data collection workbooks
10. Ensuring that security to the building is maintained in line with guidance and standard operating procedures
11. Carrying out reception training for any cover team members and identifying ongoing training needs for the cover team, liaising with the Team Leader as needed
12. Raising any concerns about process, practice, or incidents as appropriate
13. Completing any reasonable tasks instructed by your line manager or property manager
