Job Summary
We are looking for a highly organised and detail-focused Purchasing Administrator to support our busy procurement team. This is a key coordination role responsible for ensuring purchase orders, supplier communication and internal records are accurate and up to date.
The role is primarily operational and administrative, ideal for someone who enjoys structure, accuracy and working behind the scenes to keep processes running smoothly. You will work closely with Buyers, Category Managers, Finance and Warehouse teams to support day-to-day purchasing activities.
This position would suit someone with strong administrative skills who is looking to build a career within supply chain or procurement.
Key Responsibilities
* Raise and process purchase orders accurately and in a timely manner.
* Maintain procurement records, spreadsheets and ERP system data.
* Liaise with suppliers to confirm order acknowledgements, delivery dates and shipment updates.
* Track incoming deliveries and flag delays or discrepancies.
* Support Buyers and Category Managers with administrative tasks and reporting.
* Assist with stock and order data checks to ensure system accuracy.
* Coordinate documentation for imports, deliveries and invoices.
* Work closely with Finance to resolve invoice or pricing queries.
* Communicate with Warehouse and Logistics teams regarding expected deliveries.
* Ensure all purchasing documentation is filed and compliant with company procedures.
What We’re Looking For
* Previous experience in an administrative, coordination or office-based role.
* Strong organisational skills and high attention to detail.
* Comfortable working with spreadsheets and data entry.
* Good communication skills when dealing with suppliers and internal teams.
* Ability to prioritise tasks and manage deadlines.
* Proficiency in Microsoft Office, particularly Excel.
* Experience using ERP or procurement systems is desirable but not essential.
* A proactive, reliable and team-focused attitude.
* Interest in supply chain, purchasing or business operations is advantageous.
