Job Purpose
Responsible for providing effective and efficient administrative support to the Geospatial Data Science Team at the University of Glasgow. The successful candidate will work closely with the team Lead, Prof Ana Basiri, to support internal and external collaborations, monitor outputs, organize meetings and events, and generate reports.
Main Duties and Responsibilities
1. Provide dedicated administrative support to the Geospatial Data Science Team.
2. Support project manager and team lead in maintaining delivery plans, GANTT charts, and Action Logs.
3. Identify opportunities to improve administrative systems and processes.
4. Develop and maintain the team website, handbooks, and social media content to support marketing and communication strategies.
5. Perform other relevant management support duties as required.
6. Serve as the first point of contact for staff queries related to the team lead, including calendar management, meetings, minutes, and communication.
7. Use judgment proactively to deliver quality service, answer queries, provide information, and resolve issues.
8. Plan, coordinate, and manage administrative activities supporting the delivery of team projects.
9. Support researcher career development programs and bid development activities.
10. Ensure excellent service delivery for travel bookings, expenses, and visitor arrangements.
11. Assist in organizing workshops, seminars, and conferences, including travel arrangements for researchers and visitors.
12. Support operational financial processes, including purchase orders and expense claims.
13. Administer recruitment processes, including application data management and monitoring progress.
14. Manage team records, files, and liaise with relevant leads and advisory boards.
15. Update webpages, handbooks, and social media to support marketing strategies.
16. Contribute to continuous improvement initiatives to enhance staff and student experiences.
17. Perform additional duties as assigned, prioritizing work with line management.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential: Demonstrated competencies and skills through personal development or Scottish Credit and Qualification Framework level 7 or equivalent experience.
Desirable: Knowledge of Geospatial ecosystem and UK Higher Education.
Skills
Essential: Planning, organization, communication, IT skills, self-motivation, teamwork, project delivery.
Experience
Essential: Proven competencies, customer and staff engagement, administrative data handling, team contribution.
Desirable: Experience with PGR or Research Services administration, and relevant software packages.
Terms and Conditions
