Job Description:

The Team Lead, Travel, Fleet, and Logistics oversees the strategic planning and operational management of the organization’s travel services, vehicle fleet, and logistics operations. This leadership role focuses on optimizing travel arrangements, ensuring efficient fleet utilization, and streamlining logistics processes to support the company’s objectives. The individual must have strong analytical skills, vendor negotiation expertise, policy development acumen, and effective cross-departmental collaboration to enhance service delivery and cost efficiency.

Key Responsibilities:

Executive Travel Management

* Develop a strategy and plan for smooth coordination of local and international executive travel
* Secure high-level partnerships with key vendors and stakeholders
* Meticulous record keeping
* On-ground support to ensure smooth travels particularly in coordination of private travel
* Coordinate and maintain a robust database of partners like protocol officers, account officers, Visas
* Propose the best cost savings driven services and solutions

Corporate Travel Management:

* Develop and enforce corporate travel policies and procedures to ensure cost-effective and efficient travel arrangements.
* Oversee all aspects of business travel, including flight bookings, accommodations, visa procurement, and travel insurance.
* Negotiate and manage contracts with travel agencies, airlines, and other service providers to secure favorable terms.
* Monitor and analyze travel expenditures, implementing strategies to optimize travel budgets.
* Ensure compliance with international travel regulations and company policies.

Fleet Management:

* Supervise the acquisition, maintenance, and disposal of the company's vehicle fleet, ensuring alignment with operational needs and budget constraints.
* Implement regular maintenance schedules and safety inspections to ensure vehicle reliability and compliance with safety standards.
* Manage vehicle registration, insurance, and adherence to transportation regulations.
* Analyze fleet performance data to enhance utilization, reduce costs, and improve operational efficiency.
* Adopt and integrate fleet management software and technologies to monitor vehicle locations, fuel consumption, and driver performance.

Logistics Coordination:

* Oversee the planning and execution of logistics operations, including the transportation and distribution of goods.
* Collaborate with internal departments to coordinate logistics activities, ensuring timely and accurate delivery of products and services.
* Develop and implement strategies to optimize supply chain efficiency, minimize costs, and improve service quality.

Team Leadership and Development:

* Lead, mentor, and develop a team of professionals, including travel coordinators, fleet supervisors, and logistics personnel.
* Conduct regular performance evaluations, providing feedback and identifying opportunities for professional growth.
* Promote a culture of continuous improvement, collaboration, and exceptional customer service within the team.

Policy Development and Compliance:

* Establish and update policies and procedures related to corporate travel, fleet management, and logistics operations.
* Ensure all activities comply with company policies, industry standards, and applicable regulatory requirements.
* Stay informed about industry trends, emerging technologies, and best practices to inform policy enhancements and operational strategies.

Vendor and Stakeholder Management:

* Maintain strong relationships with vendors and service providers to negotiate favorable terms and secure high-quality services.
* Liaise with various embassies and government agencies to facilitate travel documentation and approvals.
* Engage with key stakeholders to identify and address travel and logistics needs.
* Manage relationships with third-party logistics providers, negotiating contracts and monitoring performance.
* Ensure compliance with local and international shipping regulations, customs requirements, and trade laws.

Requirements:

* Bachelor’s degree in business administration, Logistics, Supply Chain Management, or a related field
* Minimum of 5 years solid work experience in a travel agency and at least 2 years’ planning travel for senior executives.
* Experience working with a travel agency or consultancy is preferred
* Have a robust and solid network of stakeholders
