About the role

Our mission at Hope into Action is to enable the local church to house the homeless and we're looking for a Finance and Office Administrator to join our team in Portsmouth.

The role is based at our office in Portsmouth working with the Portsmouth team in partnership with local churches in supporting and empowering tenants in our homes in Portsmouth and the surrounding area. Our homes comprise of single male tenants or single female tenants or families, all of whom have experienced homelessness.

Your role will be as the general office coordinator for the Portsmouth team providing support in day-to-day administration of tenant finances and files and leading on the bookkeeping and finance administration.

You will need to have a flexible approach to working outside of the normal 9-5 for occasional weekend and evening events.

For this role, you would be someone with a passion for the homeless and our values, who is able to work with all our partners. The ability to work in a flexible team and learn new skills is important as we foster working within a strong supportive team. As a key role within Hope into Action you must demonstrate your sympathy with the Christian faith and the mission and values of the organisation.

Experience of finances and good administration skills are essential. Knowledge of Xero is desirable.

Our vision is for every church to lovingly provide the homeless with a home. The tragedy of homelessness is in every community. We believe that with our help, every church can do something about it.

Job Salary & Benefits

· Hours of Work – 24 hours per week (hours can be flexible, but ideally spread across 5 days)

· Salary – £27,250 per annum pro rata (full time 40 hours)

· Annual Leave – 25 days per annum + bank holidays and days in between Christmas and New Year on a pro rata basis

· Pension – Hope into Action will contribute 8% of qualifying salary to a Pension Plan

Essential Job Functions

1. Manage day-to-day finances and bookkeeping for the Portsmouth team, including:

· Update tenant's payments being paid electronically or in cash including Housing Allowance, and issue monthly statements

· Bank reconciliation and cash flow administration (weekly) using Xero, including banking cash and recording as necessary

· Creating investor statements for each house as required

· Uploading relevant bank account credits into Empower system and allocating to tenants (monthly)

· Reconciling bank statements with Housing Benefit statements

· Creating monthly and annual reports for Franchise Lead & Trustees

· Coordinate and report team expenses monthly

· Other financial tasks as required

2. Support the Portsmouth Team in day-to-day administration, including finance:

· Answer phone and email enquiries

· Provide support to the Portsmouth Trustees, Franchise Lead and Empowerment Workers as required, including direct support and contact with tenants

· Working well as part of a team and attending team meetings

· Distribute newsletters and update social media

· Complete fundraising tasks as agreed

· Project manage external events hosted by HiA Portsmouth

· Keep office clean and tidy and stocked as necessary

3. Administrative support for the Portsmouth houses, tenant files and keys, including:

· Working with the Maintenance Coordinator to keep records of houses up-to-date

· Keep all tenant hard & soft copies of files up to date

· Manage the key log system and be responsible for key organisation and access by colleagues

4. Spiritual Participation

· Participate in the organisation retaining a strong Christian ethos, culture and practices throughout, with a strong emphasis on prayer and a Biblical basis for decision making and policies

· Devote specific time to pray for the organisation

· Help to organise and attend team retreats

5. Other

· Maintain and strengthen current systems offering suggestions for improvement where required

· Attend away days, meetings, training days and other events

· Identify training opportunities for yourself

· Assist with other work, events or situations as needed

· Maintain own annual leave records

· Other tasks as appropriate for your position
