Role Purpose:
Our Project Coordinators are responsible for supporting the day-to-day functions of our contract orders through to completion. They support the Project Managers to ensure that relevant deliveries and labour for installation and commissioning visits are arranged in line with agreed timescales.
The successful candidate will play a key role in the delivery of our projects and maximise opportunities to meet department performance targets and achieve profitability.
The Key Responsibilities of this Role will include:
* Managing, updating, and communicating engineer's schedules according to Project Managers requirements. Consulting with direct/subcontract engineers to ensure all necessary information is available in advance of site visits.
* Shipping of products and equipment to engineers in line with the Project Manager's specifications.
* Creating variation quotes/orders and ensuring all records remain up to date.
* Preparing return documentation for incorrect or faulty kit on site. Consulting with the returns department, to follow up project credits.
* Support the Project Manager in meetings, to ensure forecasting of monthly sales is accurate and to identify billing opportunities.
* Raising invoices and applications for works completed in line with information provided by project managers and client timescales.
* Ensuring all Sub-Contractor and supplier invoices are counter signed and submitted to accounts promptly.
* Monitoring customer accounts and flagging any credit or payment issues.
* Processing project handovers to ensure all information and kit is correct prior to site attendance.
* Ensuring the team SharePoint folder is up to date with all relevant documentation and correspondence.
Essential Criteria
* Previous experience in a similar Coordination or Senior Administration role.
* Proficient in the use of Microsoft Office.
* Excellent communication skills, both written and verbal.
* Ability to prioritise and work to deadlines and objectives.
* Effective problem solving and accomplished customer service skills.
* Keen attention to detail.
* Demonstratable team working skills.
