Mission of the Function:
The Commercial Site Administrator is responsible for managing finance-related administrative tasks on a construction site, ensuring adherence to financial and commercial processes. The role reports functionally to the Commercial Site Management and disciplinarily to the Operations Manager in the back-office.
Dimension of Function:
The Commercial Site Administrator will support the Commercial Site Manager & Senior Admins to ensure financial and commercial processes are followed properly on site. This includes forecasting, quality assurance of costs, purchase ordering, processing and checking supplier invoices, and reporting on costs.
Areas of Responsibility:
* Procurement:
o Raise Purchase Order (PO) requisitions and send POs to suppliers.
o Ensure adherence to all purchasing processes.
o Execute the Short Order process, including raising, filing, and monitoring short orders.
o Validate supplier invoices and ensure proper posting against POs.
* Cost Controlling:
o Assist the Commercial Site Manager in cost controlling by providing input on site purchases.
o Enhance the accuracy of cost forecasts.
* Asset Management:
o Establish and monitor site inventory.
o Maintain an asset log and conduct regular inventory checks.
* Commercial Documentation:
o Track and log site inventories, purchases, assets, and equipment.
o Provide support for ad hoc administrative tasks, including attending meetings and taking notes.
* Event Documentation and Communication:
o Document and communicate events that affect the project's financial status.
* Coordination with Construction Administrators:
o Work closely with Construction Administrators to ensure project operations and goals are aligned.
Competencies:
* Business Administration & Finance (Purchase Ordering, Invoices, Cost Controlling)
* Strong communication skills in multicultural environments
* Advanced IT skills (MS Outlook, Office 365: Excel, Word, OneDrive)
* Team player, self-motivated, and trustworthy
* Quality and focus-oriented
* Experience with SAP
* Knowledge of the wind turbine industry and construction projects
* Safety awareness (OSHA10 or equivalent)
* Analytical and statistical skills
Qualifications:
* Professional:
o Proven experience as an office/business administrator or assistant.
o Qualifications in Finance and Business Administration are a plus.
* Intercultural:
o Experience in an intercultural environment is highly desirable.
* Capabilities:
o Strong team skills, learning ability, communication skills, customer focus, analytical abilities, and change .
Contacts:
* Internal: Finance & Commercial teams, Site Management, Site Team, Site Support, and all other internal interfaces.
* External: Customers, subcontractors, suppliers, and other external contacts.
Additional Requirements:
* Location: This role is site-based in VIRGINIA. Only local resumes will be considered.
* Training and Certification: OSHA 10 or equivalent may be required.
* Personal Protective Equipment (PPE): Glasses, boots, helmet, gloves, and high-visibility jacket.
