Executive Assistant - 12 Month FTC
Join Mills & Reeve as an Executive Assistant on a 12‑month fixed‑term contract. This role provides comprehensive executive assistance to the local team. You will work closely with Team Leaders and Regional Executive Services Managers, utilising internal resources such as the Document Production team, Administrative Assistants and Business Services. You will have autonomy in structuring your day while remaining integral to the team.
Responsibilities
* Business Development: Manage and attend team and project meetings, taking minutes; prepare meeting arrangements including travel, rooms, catering and equipment; plan and attend events; engage in networking; manage email bounce‑backs; support legal directory submissions; assist with newsletters.
* Client Service: Deliver outstanding service, receive instructions, progress tasks proactively; undertake client/matter creation and updates; ensure compliance and conflict checks; run client financial reports; manage digital data systems; assist with helplines, websites and client queries; draft correspondence and coordinate file reviews.
* Diary Management: Coordinate diary appointments, ensure itineraries are prepared; add key dates and reminders.
* Finance and Billing: Conduct financial housekeeping meetings; print billing guides; raise draft proformas; send invoices; liaise on fee notes; manage client queries; produce finance forms; update reporting systems; handle rate reviews; complete timesheet input; manage expense claims.
* Managing Workflow: Prioritise tasks, manage emails, meet deadlines; provide clear instructions; manage and update client spreadsheets; delegate using support teams.
Qualifications & Experience
* Background in a professional services environment or experience providing executive support to lawyers.
* Strong organisational skills and ability to multitask across a variety of people.
* Confident in setting and prioritising own work agenda.
* Excellent written and verbal communication skills, attention to detail, and teamwork.
* Ability to build sustainable relationships with internal and external clients.
* Willingness to take on new responsibilities and challenges while remaining resilient.
