About The Role:
Working pattern
Monday to Friday
Hours required between 6am
Introduction and overall purpose of the role
1. To Assist with all Administration duties within Cleaning under the instruction & guidance of the Manager Supervisor.
2. To answer all telephone enquiries leaving clear written messages to whom they concern.
3. To record Holiday/sickness/Absence of other members of the team
4. To be able to be fully competent with Day-to-Day use of in-house Computer literature & be able to develop the admin role to a smooth-running level of function.
5. To be fully competent with use of Microsoft word/excel sheets and have the potential to develop these areas further.
6. Order & place stationary requirements within the department in adherence to stock holding levels & cost control.
7. To ensure that the Office is always kept clean & Tidy.
8. Produce quality & Professional display Signage/posters when.
9. To have a full understanding of staffing requirements, As well as file all necessary reports and notify and place any variances to your Line Manager/Supervisors.
10. To have a full understanding of faults, As well as file all necessary reports to client and notify faults to your Line Manager/Supervisor.
11. To effectively file and Maintain all Invoices/ receipts in accordance to Company requirements Daily.
12. Make sure all staff complete & Sign any Training forms as directed by Manager/Supervisors.
13. To Assist with any Administration Duties required by Facilities Manager/Supervisors
14. To input Stock and manage/file reports for End of Month.
15. To take Minutes of all Facilities Manager/Supervisor meetings and type up any notes and effectively file as.
Main Duties & Responsibilities of the Role
16. Always maintain good clean appearance, in line with Company Uniform code and personal Hygiene standards.
17. To always comply with client, company, and legal requirements such as health and safety, ensuring the display of notices, first aid and accident reporting/Near Misses forms.
18. To notify Manager/Supervisors of any variances with end of day procedure.
19. Effective Ordering and management of all Office equipment/ Files under the direction of the Manager/Supervisors.
20. To ensure that specified and correct standards of services are established and maintained, and that any deficiency is reported and remedied quickly.
21. To be flexible in line with the business needs within cleaning facility
Educational Level
22. Good Educational level with knowledge of IT systems
Experience –previous experience –desirable/essential for technical competence of the role
23. Experience Essential in similar Admin role
24. Word/Excel/PowerPoint
