We are recruiting for a Workplace Experience Receptionist \n \nPurpose of the job\n \nCBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Receptionist/ Facilities Co-ordinator to work part time, two days per week (Monday & Thursdays.)\n \nYou will be based at Granta Park, Cambridge.

\n \nWorking Mondays and Thursdays.\n \nThe successful candidate will need a can-do attitude and be responsible for being the face of CBRE and Syngenta for the day-to-day operations of the office ensuring an exceptional customer service experience whilst also being the point of contact for the site Key Stakeholders. \n \nYou will need to have a welcoming manner and be able to collaborate with the client, Syngenta employees, contractors and be part of the wider CBRE Commercial Offices Team\n \nYou will need to work closely with the other CBRE colleague who works on the other three days of the week and ensure effective communication between the two of you to perform well as a team.\n \nIt is essential that all tasks completed are accomplished efficiently and to the best of your ability.\n \nResponsibilities and daily activities:\n \n· Be the first point of contact for the Key Stakeholders and take ownership of the FM services delivered on site.\n \n· Ensure Exceptional Customer Service Experience, including helping Syngenta colleagues organise events & participate in them. \n \n· Be the point of contact for all visitors and contractors.

Work closely with the FM Helpdesk, Planner and Senior Facilities Manager ensuring all contractor visits are co-ordinated and planned.\n \n· Supervising the office cleaner's task completion/standard of cleanliness.\n \n· Post/goods in\n \n· Manage the relationship and issue reporting and resolution with the landlord Facilities team.\n \n· Use of CBRE Technology to monitor and report compliance (MyVantage, MyWork, E-logbooks, Harbour etc..)\n \n· Oversee and support on all statutory maintenance records and service sheets being available, accurate and filed for audit purposes.\n \n· Promote QHSE and adhere to all CBRE policies.\n \n· Manage & control the Permit to Work Systems, ensuring effective and fully compliant use at all times.\n \n· Review Specialist Service Providers risk assessments and method statements.\n\n· Ensure that all work areas are left in a clean and tidy condition during work and that minimal disruption to the client is maintained.\n \n· Complete Syngenta and CBRE site inductions for staff and contractors.\n \n· Assist with ensuring Authority to Work (ATW) are issued.\n \n· Ensure at least two observations per month are logged.\n \n· Assist with conducting Contractor Review (OP63).\n \n· Assist with conducting site reviews including site Inspections (OP61).\n \n· Sub-Contractor logbook management- ensuring all documentation is current and up to date.\n \n· Support with audit management (Internal & External).\n \n· Assist and enhance service delivery through best practice and the effective use of site systems and equipment.\n \n· Occasional opportunities for overtime, to cover colleague sharing the job role.\n \n· In addition to the above-mentioned tasks, other activities and responsibilities that may be individually defined.\n\nPersonal Experience and Qualifications needed\n\nVery good IT skills including MS Office, data bases, PowerPoint & Excel.\nVery good level of written and verbal communication skills.\n\nAbility to prioritise workload to effectively meet deadlines.\nCustomer satisfaction is to be maintained at the highest level by providing a high quality and pro-active service.\nAssist and enhance service delivery through best practice and effective use of site systems and equipment.\nAbility to comprehend and interpret instructions, short correspondence, memos and ask clarifying questions to ensure understanding.\nAbility to respond to common inquiries or complaints from the client, co-workers and/or Syngenta employees.\nAbility to work on own initiative as well as part of an integrated site team.\nPrevious experience working in a similar building environment/business.\nDemonstrates integrity - acts consistent with what he/she says and believes in line with ethical standards.\nEffective communication with the client, peers, and management team.
