Overview
We are looking for an enthusiastic person to provide administrative support to the Neurophysiology team. Applicants must be educated to good GCSE level or have equivalent qualifications in Maths and English and good IT skills. An interest in working within a team and in a Healthcare environment is desirable as is the wish to utilise and improve your administration skills.
The successful applicant will be well motivated and have good communication skills, both face-to-face and on the telephone. We will provide you with all the training and ongoing support you require to enable you to use the systems and processes already set up within the department. We expect that you can demonstrate good team-working and interpersonal skills and good IT skills.
This is a full-time post (37.5 hrs/week), working hours are Monday - Friday between 0800 - 1700.

Main duties of the job
* Working within a team of 2 other Clerical Officers managed by the Clinical Administration Manager, within the Neurophysiology department on Level 7 of Derriford Hospital. Some face to face interaction with patients is required.
* Dealing with patient notes, manual handling and lifting.
* Telephone interaction when booking appointments or dealing with queries.
* Communicating with fellow Clerical Officers, Neurophysiology Clinical Scientists/Physiologists, Doctors, patients and other departments within the Hospital.
* Arranging the collection and preparation of clinical notes for investigations and appointments such as nerve conduction studies and others as required.
* Registering referrals into the department.
* Booking new and follow-up appointments appropriately using iPM system and clinical staff booking rules.
* Adding patients to various waiting lists and sending out notification letters to patients.
* Registering new patients on iPMs and creating hospital notes.
* Responding to emergencies and the alarm system within the department and proceeding accordingly, ascertaining level of emergency and alerting appropriate teams as necessary.
* Providing reception duties, acting as a first point of contact for patients and, where possible, allaying their fears to enable attendance (e.g., arriving and departing patients, booking further appointments, ensuring outcomes are completed by clinicians for all appointments).
Person Specification
Knowledge & Experience
* Essential: Clerical Officer or similar demonstrable experience within a medical setting.
* Essential: Understanding of hospital administrative procedures.
* Essential: Understanding of iPM.
* Desirable: Proven knowledge of Neurophysiology diagnostic procedures.
Qualifications
* Essential: Educated to GCSE in English and Maths 4 - 9 (A-C) or equivalent or demonstrable equivalent experience.
* Desirable: NVQ Level 2 in Business and Administration.
Aptitude & Abilities
* Highly organized, efficient administrator with excellent telephone and interpersonal skills.
* Good command of the English language both verbally and in writing.
* Ability to work calmly and methodically from a busy and varied workload.
* Ability to handle difficult or distressed patients in a sensitive and empathetic manner.
* Demonstrate an understanding of the importance of confidentiality.
