We’re looking for an Executive Assistant & Governance Team Coordinator to join our Quality and Governance team, based in London, W1.
The team support all HCA facilities in relation to ensuring the high standards of quality and legislative governance that we are renowned for worldwide. They support our facilities with regulatory body inspections and the implementations of new and updated compliance to ensure we maintain and improve or inspection ratings alongside continuous quality improvements. Ensuring that each candidate has an exceptional patient experience.
As our Executive Assistant & Governance Team Coordinator, you’ll provide executive assistant to both the AVP of Quality and the Executive Medical Governance Director.
You will provide sound diary management and professional and personal support for their requirements and requests. This will include managing Executive scheduling, taking notes at Executive meetings, processing expenses, making travel reservations (may be domestic and international) room and catering requests, managing confidential matters arising and handling both internal and external communications from a wide range of stakeholders.
Alongside this you will support the Governance team with general administration and day to day support within their roles.

What you’ll do:
* You will be the main point of contact between the AVP/ Medical Governance Director and other Executives across HCA including CEO’s, Medical Directors and Facility Governance Teams. Determining priority of matters for attention.
* Draft communications on behalf of the AVP and Executive Medical Governance Director and transcribe source material and prepare documents for Executive meetings.
* Assist the AVP and Executive Medical Governance Director with the development of presentations and both internal and external audiences.
* Supporting the administration of Governance and Clinical operations Group projects; attending project meetings and the coordination of staff required. Coordinating team meetings and key dates.
* To provide administrative, coordination and delivery support to key workstreams within the governance team, including the preparation of Executive Board packs, power point presentations, minutes and agendas, maintenance of action logs, and collation and formatting of documents and report content
* Ad hoc and urgent duties as required.
What you’ll bring:
* Demonstrative and extensive experience of project coordination and administration support to include implementing and maintaining system and processes (computerised and paper record filing systems). Ideally with Healthcare (not essential)
* High standard of proficiency in the use of verbal and written English language - excellent verbal and written communications and able to maintain the strictest of confidentiality. With a demonstrative career history working with a diverse range of stakeholders.
* Highly IT and systems applications literate; demonstrating a high level of proficiency in required operating systems: (i.e. Meditech, Microsoft Office: Word, advanced Excel and PowerPoint etc.) and working with Information Governance and Data Protection principles.
* Previous experience in collating and interpreting data and utilising databases.
* Methodical, logical, and highly organised in approach to your work.
* Ability to organise and prioritise work assignments and manage varied workload appropriately, including being able to work to tight deadlines and the ability to work to changing timescales with excellent attention to detail and accuracy.
* Excellent collaborative team member, with the ability to build effective working relationships and able to influence others.
