Edwin Doran Sports Tours are part of the Experience Education group, a market leader in sports travel. We arrange fixtures between teams, provide billeting in host countries, and aim to help players engage with local people and culture.
Role and location
Reporting to the Product Manager in the UK as part of the Edwin Doran Sports Tours team. The main role will be securing accommodation and managing the bed stock.
What you’ll be doing
* Accommodation requests for the Netherlands, United Kingdom, Ireland, Caribbean, North America, Australia & New Zealand — work closely with the sales team to source and secure accommodation for provisional bookings.
* Maintain the Accommodation Tracker and manage the Option bookings for the listed regions.
* Maintain the Netherlands Bed Stock Excel document.
* Booking Confirmation — monitor accommodation bookings, confirm reservations and manage deposits and payments as appropriate.
* Check supplier invoices to the ops team for payment; work within the tour budget and seek savings where possible.
* Collaborate with the Commercial department to ensure all units and prices are loaded on the Reservation System and keep it updated annually and as needed.
* Maintain good relations with overseas suppliers and establish new contacts and contracts.
* Monitor Product Inbox for sales and commercial requests.
* Assist with researching and building the portfolio of excursions and rates for each destination; develop tour portfolio with new hosts, excursions, charity links, and pro clubs.
* Negotiate rates with suppliers and ensure Health and Safety regulations are met, at the discretion of the line Manager. May require additional hours as needed.
* Perform other duties as required; a flexible approach to working duties is expected.
What we are looking for
* Strong commercial acumen, adaptable, reliable and flexible, with a responsible attitude and the ability to cope under pressure and tight deadlines.
* Understanding of UK and worldwide sports participation and the needs of various sports (e.g., Rugby, Netball, Cricket, Hockey, Football).
* “Can do” attitude; able to work independently and as part of a team.
* Knowledge or experience of Group Travel is advantageous.
* Strong negotiation skills and the ability to build effective relationships.
* Ability to quickly learn systems, processes, and procedures.
* Excellent communicator; able to deal with suppliers by email and phone professionally.
* Ability to work on own initiative and prioritise workload.
* Excellent organisation and administration skills; high numeracy and attention to detail.
* Methodical and analytical approach to work.
* Understanding of Wordpress is ideal but not required.
* Enjoys working with technology and problem solving.
* Ability to work well under pressure with a flexible approach to working hours, including some weekends and evenings.
* Desire to meet and exceed deadlines; ability to manage several tasks concurrently.
