We are looking for an experienced Payroll Administrator to join our People team in Birmingham. The Payroll Administrator will support the accurate, timely and compliant delivery of UK payroll. Working closely with the Payroll Manager and wider People Operations team, the role ensures payroll processing meets statutory requirements, internal controls and agreed deadlines, while providing a high‑quality and supportive service to employees and stakeholders.
Key Responsibilities
Payroll Delivery
* Maintain accurate employee records, including starters, leavers and approved contractual changes
* Process overtime, bonuses and other variable payments in line with agreed cut‑offs and approval controls
* Calculate and process statutory family leave payments (maternity, paternity, adoption and shared parental leave)
* Process sickness absence payments in line with company policy and statutory requirements
* Ensure payrolls are delivered accurately and on time in line with agreed schedules
Stakeholder Management
* Work closely with People Services, Finance, Reward and Employee Relations to support accurate payroll delivery
* Respond to payroll queries clearly and professionally, ensuring agreed service levels are met
* Provide guidance to employees and managers on payroll processes and statutory entitlements
Compliance
* Ensure payroll processing complies with UK legislation, including PAYE, National Insurance and HMRC RTI requirements
* Support RTI submissions and statutory reporting in line with regulatory deadlines
* Maintain secure and confidential handling of employee data in line with GDPR and internal policies
* Provide accurate data and evidence to support internal and external audits
Systems, Reporting and Continuous Improvement
* Use the payroll system and HRIS to manage payroll inputs and employee data changes
* Produce payroll reports for month‑end checking, finance, reconciliations and audit purposes
* Use Microsoft Excel to validate payroll data, perform reconciliations and support accurate reporting
* Manage payroll queries via shared inboxes or ticketing tools
* Support continuous improvement of payroll processes, documentation and controls in partnership with People Services and Finance
Skills & Experience
* Experience working in a payroll function, managing routine payroll changes and variable pay
* Sound understanding of UK payroll legislation, including PAYE, National Insurance, statutory payments and RTI principles
* Excellent attention to detail, with care and accuracy when handling complex and sensitive data
* Confident using payroll systems, HRIS and Microsoft Excel to support accurate payroll delivery
* Clear and thoughtful communicator, comfortable building positive working relationships with colleagues and responding to employee queries
* Organised and dependable, able to manage deadlines while maintaining a consistently high standard of work
