Description
Due to internal growth, we have an interesting opportunity for an archiving assistant to join our new central archiving team on a full-time, permanent basis in our Yeovil office. The successful candidate will be responsible for supporting the delivery of the firm’s archiving, providing effective administrative and archiving assistance to various stakeholders across the business and working closely with the facilities team.
Key Responsibilities
* All tasks relating to archiving legal documentation including preparing files for storage, ensuring correct naming of correspondence and documents on the Peppermint Document Management filing system and spreadsheet administration.
* Support with Archiving destruction project (reviewing file/box information digitally for retention accuracy, retrieving physical files for review, re-boxing for destruction/retention, updating Peppermint to reflect changes).
* Maintaining accurate archiving records (various systems including Peppermint).
* Support in meeting archiving ISO standards
* Ensure documented processes are adhered to and make any suggested improvements
* Observe confidentiality in all matters both internal and external and maintain an awareness of the need for data protection
* Occasionally supporting BAU archiving filing and retrieval (including incoming files, outgoing files, ‘gone away files’, new matter labels, Deeds in & out, new registrations)
Skills, Knowledge and Expertise
This role would best suit someone who has proven experience in a similar role, has a continuous improvement mindset, is flexible, pro-active, and a team player with strong organisational and administrative skills. More technical requirements include excellent IT skills including the use of Microsoft office and Outlook. The successful candidate would have ideally carried out a similar role in a law firm environment; however, we welcome applications from those who feel they have the right skills and can meet the role requirements.
