Position Overview Ithaca Energy is accepting applications for the position of Lead Document Controller, located in our Aberdeen Office. Reporting to the Information Management Lead, the Lead Document Controller is responsible for the management and coordinator of all documentation activities within the Company. This role ensures that documents are properly controlled, maintained, and accessible to relevant stakeholders. The Lead Document Controller is a key player in ensuring compliance with industry standards, regulatory requirements and Company policies and will work closely with cross-functional teams, including IT, business functions and external partners to develop and implement information management strategies and best practices. Responsibilities Act as the Subject Matter Expert (SME) delivering an IM support service to Major Capital Projects and Operating Assets including but not limited to Document Control for Business management System, Archive & Retention, Document Management tools functional support. Document Management: Oversee the document control process, including the creation, review, approval, distribution, and archiving of documents. Provide the business controls, processes, standards and strategy for managing the lifecycle needs of information. This includes administration of offsite hard copy storage records. Team Leadership: Lead and mentor a team of document controllers, providing guidance and support to ensure efficient and effective document management practices. Compliance and Quality Assurance: Ensure all documentation complies with industry standards, regulatory requirements and Company policies. Conduct regular DMS audits and quality checks to maintain high standards and ensure information integrity is preserved and data is exploited to enhance system functionality and user findability. System Administration: Manage and maintain document control systems and software, ensuring they are up-to-date and functioning correctly. Training and Development: Develop and deliver training programs for staff on document control processes and systems. Stakeholder Communication: Liaise with internal and external stakeholders to ensure document control requirements are met and provide support as needed. Guide external contractors and service providers re’ IM handover requirements e.g. numbering/revision conventions, formats, collaboration mechanisms, delivery and handover methods. Manage bulk transfer, extraction, and issuance of engineering information to and from EPC contractors and internal/ external personnel, ensuring integrity and sensitivity of information is maintained. Reporting: Generate and present regular reports on document control activities, highlighting any issues and recommending improvements. Report to IM Lead regarding customer feedback, particularly with regards effectiveness & usability of processes & tools, support and operational issues, progress and escalation. MCP Support: Facilitate and manage Major Capital Project (MCP) Handover to operations from MCP contractors and internal MCP department, outlining Operational handover document such as information/ data preparation, usage, readiness and completion. Monitor the exchange and use of Operational master information for MCP Brownfield scope to ensure concurrent engineering activities are tracked and communicated to all parties, reducing engineering re-work or additional costs. Lead/Project Manage improvement initiatives to enhance end user experience across BMS and DMS which include technical plan creation, assignment of action owner(s), dependencies, and delivery to completion timeline. Qualifications & Experience Bachelor’s degree in Information Management, Business Administration or a related field is preferred. Proven competency in information management, data governance or related roles, with a strong understanding of information management principles, practices and technologies. Proven capability in a similar role with document control within the oil and gas industry including leadership skills. Extensive upstream oil and gas exposure, combined with a broad knowledge of the Information Management domain and the cross business Information Management needs of an Exploration and Production company and its associated business processes and information information products specifically in the following domains: Facilities Engineering/Operations, Records Management, Major Capital Projects handover to Operations, IM Project Management, DMS Innovation Improvements, BMS and administration of offsite storage records. Extensive knowledge managing concurrent engineering, close-out and ad-hoc Asbuidling, ensuring modifications performed are controlled. Understanding of engineering tagging Asset taxonomies to allow for the control, allocation and issuance of engineering tag, line and special piping identifiers. Good understanding of customer support requirements, business priorities, processes in order to use IM expertise to offer continual support and future enhancements. Excellent leadership and team management skills, with the ability to inspire and motivate others. Effective communication and interpersonal skills, with the ability to collaborate with diverse teams and stakeholders. Knowledge of relevant regulations and standards, such as GDPR, HIPAA, or ISO 27001. Project management capability, with the ability to manage multiple projects and priorities simultaneously. Strong knowledge of document control systems and how they are used. Ability to provide user support and training for the Business Management system and Document Control Systems. Broad understanding of Facilities Engineering/ Operations knowledge such as processes such as management of concurrent engineering and redline activities.
