NSHI Ltd. are seeking an experienced Fleet Manager to manage the day to day running of our fleet of company vehicles in the most cost effect manner, in line with company requirements and driver policy/legislation.
This role will be office based over five days (Mon-Fri), we will consider candidates for a minimum part-time role of 25hrs, along with full time applicants.
Accountabilities
* Support our drivers with fleet related queries and liaise with suppliers to ensure our fleet remains safe and operational at all times.
* Maintain accurate records and ensure any changes are communicated with the relevant parties.
* Maintain database with all current vehicles & costs, review and sign off invoices, including P11D data collation and submittal to accounts.
* Maintain the MID insurance database.
* Implement an accident database and review accidents/incidents on a regular basis.
* Organise vehicle orders in line with current leasing parameters and make arrangements in relation to ordering, delivery and collection.
* Manage accident and maintenance approvals of any repairs needed across the fleet and work closely with suppliers to reduce vehicle downtime.
* Manage suppliers and supplier relationships, negotiating terms and costs where necessary.
* Review damage to company vehicles, keeping records and liaising with employees and brokers/third parties and our internal Finance department to recover costs as required.
* Deal with general vehicle queries in relation to damage, breakdown, chipped windscreens and tyres etc.
* Facilitate daily hire car processes where necessary, keeping costs to a minimum.
* Lead on vehicle sustainability initiatives.
* Review data and insights to make recommendations for optimal on-road performance.
* Review fuel spend and implement/oversee fuel card provider.
* Oversee all fines for speeding, traffic zones and parking and ensure these are managed for recovery of costs.
* Facilitate accurate reporting for payroll / HMRC obligations for company and user, raising P46 paperwork for HMRC for all new starters, leavers and vehicle changes.
* Oversee invoice processing and purchase requisitions for fleet.
* Ensure all car allowance vehicles are fit for purpose in line with policy requirements.
* Ensure that business mileage and fuel spend do not exceed contractual limits.
* Liaise with internal teams regarding on and off boarding processes, including delivery of new starter presentations.
* Conduct annual driver licence checks.
* Review and maintain company driver policy.
* Develop ongoing fleet initiatives and strategies and present these for Senior Management approval.
* Train relevant line management on the inspection of company vehicles and maintain records of the checks carried out.
* Create Standard Operating Procedure's (SOP's) to implement the above.
Essential Experience/Expertise
* ICFM qualification essential
* Fleet management experience
Technical / Professional Skillset(s)
* Effective communicator, able to engage, listen and provide feedback and guidance at all levels, both internally and externally with suppliers.
* Excellent organisational and time management skills, able to prioritise multiple tasks of varying size over varied timescales.
* Able to take initiative and act with confidence.
* Strong problem solving skills and ability to interpret and manipulate multiple data sources, extracting key data for decision making.
* Strong proficiency in MS Office (Outlook, Word and Excel in particular).
Salary offered is based on a full-time position.
