Main duties of the job
A successful applicant would ideally be an experienced receptionist who has previously worked in general practice or as a similar healthcare role. You would be expected to cover all aspects of reception such as front of house, telephones, scanning, processing prescriptions and dealing with general patient enquiries. You must have a friendly and an approachable personality with the ability to work as part of a team. You must also be flexible to cover AL where required. We use System One clinical system alongside AMGP digital platform.

Currently the team consists of 7 GP partners, 2 practice nurses, 1 HCA (health care assistant) and a dedicated admin and management team. We are a training practice with around 6500 patients, we are based in a purpose built building in Chandler house with on‑site parking.

Job Description Receptionist/Administrator
Purpose of role
Main point of contact between public and practice and acting as a focal point for communication within and externally to practice. Also to perform administrative operation of practice under guidance from line manager.

Main Duties and Responsibilities Reception/front desk/meeting greeting duties.
* Be the first point of initial contact for the general public to assist in general or specific enquiries.
* Book appointments.
* Log arrivals and let in/out of secure areas of the building as indicated.
* Take deliveries.
* Deal with private payment issues for services along with collecting payments and issuing receipts.
* Ensure people are dealt with appropriately and courteously.
* Pass on requests for medical advice/information or home visits in the appropriate manner.
* Advise public over policies and procedures for temporary patient and arrangements for joining practice.
* Telephone and internet duties: first point of contact for the general public in all non‑face‑to‑face means.
* Ensure that phone/email and internal messaging requests are answered promptly in the correct manner according to protocol to present an efficient, safe and confidential service to all interactions.
* Use of specialist software e.g. for running call/re‑call systems, authorising medication, scanning/filing letters, data entering on patient records.
* Ensure that data flows around the practice from initial point of entry to final destination end point, by ensuring duties are performed in a logical and systematic manner in accordance with training and protocols, thereby maintaining patient safety and confidentiality.
* General administration duties for practice: assisting and, where appropriate, taking a lead in all general administrative tasks in the office environment.
* Repeat prescription ordering/printing/administration: ensuring that repeat medications when ordered are promptly issued or sent for re‑authorisation.
* Open and close the surgery at the beginning and end of day in the prescribed manner.
* General filing: keep necessary paperwork clear and tidy in the appropriate manner according to protocol and ensure records are kept for the appropriate time before shredding.
* Assorted general office related tasks: any other tasks that become needed on a day‑to‑day basis that might reasonably be the responsibility of a general reception and administrator, including maintaining General Health and Safety Policies and Procedures.
* General tidying and occasional cleaning style duties: keep general work area clean and tidy during routine operations to meet health, safety and fire requirements.
* All above general and specific tasks to be done in accordance with appropriate protocols.
