Vendor Management Associate (12-month Contract)

Company Name: Vertex Pharmaceuticals

Type of Role: Contract position, Inside IR35

Location: Hybrid, 3 days on site in Paddington, London.

Department: Strategic Sourcing

General Overview:

As a key member of the Strategic Sourcing function, the Vendor Management Associate will be responsible for maintaining and managing vendor relationships, ensuring that all vendor records are accurate, up-to-date, and compliant with company policies and procedures.

The ideal candidate will be able to work in a fast-paced environment and effectively communicate with vendors and internal teams to ensure smooth operations.


Key Duties & Responsibilities

* Vendor Record Management: Maintain accurate and up-to-date vendor profiles in the company’s vendor management systems. Ensure all required documentation, such as tax documents, banking information, and contact details, are current.
* Data Entry & Updates: Enter and update vendor data, including company information/addresses, payment terms, and banking information. Ensure accuracy and consistency across all vendor records.
* Vendor Communication: Serve as the point of contact for vendors, addressing inquiries and resolving issues related to vendor records.
* Compliance & Audits: Ensure vendor compliance with company policies and industry regulations. Assist in vendor audits, ensuring all documentation and records are in accordance with regulatory requirements.
* Vendor Onboarding: Assist in the onboarding process for new vendors, including gathering necessary documentation, negotiating terms, and ensuring smooth integration into the company’s systems.


Knowledge & Skills:

* Strong attention to detail and organizational skills.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
* Familiarity with vendor management software or ERP systems (e.g., SAP, Oracle) is a plus.
* Ability to work independently and as part of a team.
* Strong problem-solving skills and ability to manage multiple tasks in a fast-paced environment.
* Exhibits understanding of the importance of project management, documentation of work and completion of projects on a timely basis.
* Demonstrates an understanding of all internal and external regulations and guidelines.
* Good time-management and follow-up skills.


Education & Experience:

* Minimum A Level; Bachelor’s degree in Business, Supply Chain Management, or related field preferred.
* Experience in vendor management, procurement, or administrative support.
* Previous experience in data entry or record-keeping is a plus.
