Due to the expansion of our Children’s Homes, we are looking for a Business Support Assistant to work alongside our dedicated team at Kingfisher Lodge and Beck Lodge Children’s Home. Both Homes are based in the Scunthorpe area. We are looking for someone that enjoys a busy working environment and working as part of a team, someone who believes in the importance of people and children centred practice and the importance of relationships. Although this role doesn’t involve directly caring for children, interactions and building relationships with our children will be vital as you become a part of their daily lives and home.
This role is 20 hours per week, the days and hours to be worked can be agreed with the successful applicant, for example possibly fitting into school hours each day. The role includes: 1. Providing and delivering an administrative and organisational support service including high quality minute taking, word processing, agenda preparation, circulation of papers, processing of timesheets and associated queries, photocopying, mail sorting and delivery, production and distribution of requested documentation, undertaking and receiving telephone and face to face enquiries. 2. Receiving, sorting and filing documentation, updating files and records as necessary as well as managing information and enquiries received electronically, whilst ensuring confidentiality across the service. 3. Advising staff and members of the public by providing and explaining information. 4. Produce and supervise the management information system within the service area, using IT systems, Microsoft Office products and other bespoke IT systems, supporting and guiding staff in their use. 5. Uses IT systems to input and export data, retrieve and edit data and direct staff from a range of sources relating to all teams within these team areas. This will include work of a confidential nature and maintaining statistical data for teams to produce reports, including performance and Freedom of Information requests. 6. Design, create, develop and update documents, and spreadsheets where required to support the service. 7. Raise and process internal and external invoices in line with financial guidelines and authorisation of line manager/budget holder. 8. Support the service in the operation of quality assurance systems 9. Assist in the management of Health and Safety issues, including fire regulations, first aid and the site buildings 10. Under the guidance of Deputy Homes and Regulated Homes Manager take a lead role in administrative projects.
