Working pattern – We operate a flexible hybrid working model where colleagues are expected to work in our Manchester-based office a minimum of 2 days a week; a degree of flexibility may be required to reflect the Directors schedules.

The Role

We are looking to recruit an experienced Executive Assistant (EA) to support our Directors. This is a pivotal role for someone who thrives on being proactive, trusted, and one step ahead, acting as a true partner to the Directors while working seamlessly across Roma.
Role Responsibilities
* Act as a trusted 1:1 Executive Assistant to a Director, providing calm, professional and proactive support.
* Manage sensitive information with absolute discretion and professionalism.
* Manage and prioritise the Directors inbox, ensuring timely responses and follow‑up actions.
* Draft and send professional email correspondence on behalf of the Director.
* Identify urgent messages, summarise key information, and maintain organised email systems.
* Complete a broad variety of administrative tasks for the Directors including managing an active calendar of appointments; composing and preparing correspondence; arrange travel plans and accommodation, itineraries, and agendas; and compile documents for travel‑related meetings as required.
* Plan, coordinate, and ensure the Directors schedules are upto date. Act as "gatekeeper" to the Directors diaries and time.
* Provide a bridge for clear communication between the Directors and internal departments; to maintain credibility, trust, and support with the Directors.
* Work closely and effectively with the Directors to keep them informed of upcoming commitments and responsibilities, following up appropriately.
* Prioritise conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion.
* Plan and coordinate company events.
* Manage specific meetings and events related to the business, including agenda management, notes, logistics, and follow‑up on actions as required.
* Assist with timely expense reporting for the Directors.
* Provide backup support to our Executive Assistant reporting to the MD as required.
* Support the wider team with travel, accommodation bookings and itineraries as required.
* Assist with Ad hoc projects and tasks as required.
Essential Skills & Experience
* Proven experience as an EA supporting a senior executive or Director.
* Outstanding diary and time management skills.
* Highly proactive mindset, you anticipate, prioritise and act.
* Confident working independently on a 1:1 basis, while also collaborating across teams.
* Excellent communication and people skills.
* Strong judgement with the confidence to say “no” when appropriate.
