Purpose of the role
Ensure guests receive the best experience and that our portfolio operates smoothly. You will support the Guest Experience Manager by coordinating a team of Customer Experience Coordinators, ensuring coverage, and serving as the first escalation point.
Key Responsibilities
* Coordinate, train and maximise the effectiveness of the Guest Experience team.
* Act as the first escalation point for all operations and guest experience issues.
* Manage shift coverage, rotas and supervise the office team.
* Manage runners’ productivity and organise their daily tasks.
* Track consumables stock and inventory.
* Collaborate with the maintenance team to keep properties condition‑ready and resolve problems quickly.
* Perform other ad‑hoc work throughout Scottish operations as required.
* When needed, perform Guest Experience Coordinator duties:
o Answer inbound calls and email/messaging from guests, clients and contractors.
o Use online tools to manage reservations, calendars and property details.
o Take messages, book callbacks, and coordinate with the maintenance team.
o Conduct property inspections, inventory, check‑outs and long‑term rental inspections.
o Help with guest check‑ins/outs and maintain guides and manuals.
o Maintain the office and stock supplies.
Required Skills and Qualifications
* Experience in hospitality or customer service.
* Strong problem‑solving skills and a self‑driven attitude toward outstanding customer service.
* Fluent in English (C1, written and spoken). Additional languages are a plus.
Terms & Conditions
* £28,000 per annum for 40 hours per week (incl. lunch).
* £2,000 per annum incentive target.
* Work 4 days a week (8 am to 6 pm) on a rota with weekend coverage.
* 33 days annual leave including bank holidays.
* Pension contributions.
