Contracted Hours/Days: 37.5 hours / 5 days per week

Purpose of the Role

The Sales Administrator provides comprehensive sales administration support to the Sales team, acting as a key liaison between Sales and cross-functional departments including Operations and Finance. The role ensures accurate order processing, revenue integrity and efficient coordination of sales activities, supporting the smooth and effective management of customer accounts globally.


Key Responsibilities

The following outlines the principal responsibilities of the role. This list is not exhaustive and may be updated to reflect business needs, provided it remains aligned with the overall purpose of the position.

Responsibility Area 1: Sales Order Processing

* Accurately process all sales orders, received from Sales, on a daily basis.
* Enter, maintain and manage sales orders in Sage and Salesforce.
* Maintain accurate asset records in Halo.
* Ensure all required documentation is complete and compliant prior to product shipment.
* Prepare shipping documentation and liaise with couriers to ensure timely dispatch.
* Proactively monitor open sales orders and resolve discrepancies with Sales, Finance or Operations.
* Produce weekly Open Sales Order reports for Finance and Sales.
* Raise monthly reports for Sales to highlight expiring warranties and licences to support revenue retention.
* Raise invoices for repairs based on quotes issued by the Support team.
* Liaise with customers regarding shipping updates, invoices and credit notes.
* Take credit card payments over the phone and checking BACS payments with Finance team.
* Request credit checks where required.
* Distribute software access links to new customers.

Responsibility Area 2: Trial Stock Management

* Manage and track all trial stock to ensure accurate inventory records.
* Process and ship trial agreements in a timely manner.
* Work with the Sales team to ensure trial stock is returned on time.
* Escalate potential stock losses or delays appropriately.

Responsibility Area 3: Data, Systems & Operational Support

* Maintain accurate product and customer data within Salesforce and associated systems.
* Manage inbound leads and distribute them to the appropriate Sales representative.
* Provide additional reports as and when required.
* Identify opportunities to improve processes, accuracy and efficiency across order-to-invoice workflows.

Qualifications, Skills and Experience

Essential

* Working knowledge of Sage, Salesforce.com, Halo and MS Office.
* Strong organisational skills with the ability to prioritise effectively and meet deadlines.
* Ability to work independently and collaboratively within a small team environment.
* Excellent attention to detail and high level of numerical accuracy.
* Ability to adapt to changes.
* Strong problem-solving and critical thinking skills.
* Clear and confident communication skills with the ability to build effective working relationships across departments.

Desirable

* Experience in a similar revenue, sales administration or finance support role.
* Additional language skills.
