The Opportunity We are assisting our client in recruiting a Personal Assistant (PA) to join their administrative and office support function in Glasgow, working closely with a specialist legal team. This is a full‑time, permanent role within a well‑structured support environment. The role will initially be fully office‑based, with hybrid working available once established in the position. The successful candidate will provide comprehensive PA and administrative support to Partners and Solicitors, allowing them to focus fully on client service and legal work by managing all associated operational, organisational and administrative tasks. Key Responsibilities Proactive PA & Executive Support Deliver a high‑quality PA service supporting senior legal professionals Anticipate requirements, preparing information and resources ahead of deadlines Handle sensitive and confidential information with discretion Diary, Inbox & Communication Oversight Take full responsibility for diary and schedule management Manage inboxes, prioritise communications, draft responses where appropriate, and ensure timely action on all items Use judgement to triage enquiries and route information appropriately File, Document & Matter Administration Oversee full administration of client matters and documentation Maintain accurate records, ensure compliance requirements are met, and coordinate with internal support teams during matter opening and closure Prepare meeting packs and ensure materials are available in advance Correspondence & Meeting Coordination Manage incoming and outgoing correspondence, ensuring it reaches the appropriate recipients promptly Arrange internal and external meetings, including logistics, technology setup, room bookings, and hospitality Coordinate travel arrangements and ensure all itineraries and materials are properly organised Business Development & Team Support Assist with preparation for BD activities, including event materials, meeting support, and maintaining contact information Support colleagues within the team during busy periods or absence cover Financial Administration Support financial processes including billing, document preparation, payment requests, and related administrative work Liaise with finance colleagues to ensure accuracy and timely completion of tasks Produce reports from internal systems and prepare draft communications to clients Assist with compliance requirements, including internal approval processes and regulatory documentation Skills & Experience Required Essential Previous PA or senior administrative experience Strong organisation, planning, and communication skills Proficiency in Microsoft Office applications Excellent attention to detail, accuracy, and reliability Ability to use initiative, manage multiple priorities, and work autonomously High level of discretion when handling confidential information Desirable Experience within legal, financial, or professional services Familiarity with case management or document management systems
