West London NHS Trust is working in partnership with Central London Community Healthcare NHS Trust (CLCH) to develop a new property management shared service.
The Team Co‑ordinator will be responsible for the delivery of all local administrative functions to support the smooth running of the service, achievement of key performance indicators and targets, communication with a broad range of stakeholders—including clinical managers, corporate services, external agencies, facilities management suppliers, landlords and NHS/system partners—and management of stock, procurement systems, records and data.
The post holder leads and manages the delivery of high‑quality administrative support to the team, acting as an ambassador for the service and providing first‑class, professional administration to meet strategic and business objectives.
This is an exciting opportunity to be part of a newly formed team, requiring a dynamic person‑centred approach to manage a varied and complex portfolio of approximately 350 properties across eleven London boroughs and Hertfordshire.
* Lead the customer service function, maintain a detailed and accurate message recording system, take appropriate action where necessary, and contact team members if messages require urgent attention.
* Continuously review administration processes to ensure they remain efficient and cost‑effective.
* Manage local paperwork and documentation in line with Trust and team requirements.
* Ensure service information provided to referrers and patients is correct and up‑to‑date.
* Perform data entry on the electronic CAFM record system.
* Design and manage processes to collate satisfaction feedback from users.
* Undertake audits and surveys as requested.
* Participate and act as a driver for any project work.
* Manage office systems and equipment (photocopiers, telephones, franking machines, etc.), ensuring proper operation and arranging maintenance when necessary.
* Support the locality leadership team with diary, email and roster management.
* Complete production of reports and data as required, including supporting meetings and collating local data sets.
* Deliver the administration of meetings as requested, including sending invites, circulating documents, producing minutes and action logs, and following up on delegated tasks.
