Job Description
We are seeking a highly organised, proactive, and professional Executive Assistant to support our executive team. The EA will provide high-level administrative support to the CEO and the Director of Commercial Operations, managing schedules, coordinating meetings, preparing documents, and acting as a key liaison both internally and externally.
Key Responsibilities:
* Calendar Management: Manage and maintain executives' calendars, including scheduling appointments, meetings, and travel arrangements.
* Meeting Coordination: Coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
* Confidentiality: Handle confidential information with discretion and professionalism.
* Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents.
* Communication Liaison: Screen and direct phone calls, emails, and other communications on behalf of executives.
* Internal/External Liaison: Liaise with internal departments and external stakeholders to ensure smooth communication and follow-through.
* Expense Reports: Support the preparation and submission of expense reports and reimbursements.
* Personal Tasks: Assist with personal tasks and errands as required by executives.
* Special Projects: Undertake special projects and ad hoc duties as assigned.
Qualifications & Skills:
* Proven Experience: Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role.
* Organisational Skills: Exceptional organisational and time-management skills.
* Communication Abilities: Excellent verbal and written communication abilities.
* Attention to Detail: Strong attention to detail and problem-solving skills.
* Technical Proficiency: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace.
* Language Ability: Fluency in Mandarin is essential.
* Education & Experience: Minimum of 3 years of relevant experience.
