Principal Responsibilities

To be responsible for overseeing performance of all administration staff, specifically line managing the Secretarial staff and the team leader to maintain an efficient and dedicated service, ensuring information systems are updated and monitored to provide accurate data to feedback to the Consultant and Management teams.

To liaise with the Assistant Directorate Manager/General Manager with reference to strategic and operational requirements for all relevant patient pathways.

Management Responsibilities

* Ensure all appraisals of admin staff are up to date and take place in a timely manner.
* Ensure all mandatory and role specific training for admin staff is up to date and maintain up to date records.
* Responsible for staff development and training including the setting of individual departmental targets for efficient ways of working. Take action to rectify deficiencies as and when appropriate, following HR Trust policies.
* Work with Assistant Directorate Manager regarding resolving capacity issues.
* Manage and ensure validation of the DM01 and PTLs on a day‑to‑day basis, ensuring targets are met and resources are effectively utilised to maximise efficiencies.
* Liaise with Assistant Directorate Manager, Team Leader and clinic/waiting list coordinators to ensure performance matches demand.
* Ensure flexible working patterns are achieved to enable cross cover for leave within the admin team, ensuring bank and agency costs are minimised.
* Manage recruitment and selection process for new staff within the admin team and develop strategies to retain staff in line with performance issues.
* Manage sickness and absence, maintain appraisal schedules and lead performance management issues within the admin team.
* Ensure excellent communication channels are maintained with all disciplines/departments both internal and external to the organisation, including staff, consultants, patients and visitors.
* Attend and actively participate in appropriate departmental and Trust meetings.
* Challenge current ways of working within the 18 week pathways. Evaluate and modernise pathways to ensure smooth transition of patients between departments.
* Manage the RTT and audit, maintain choose and book issues, follow through breaches and other performance related issues; undertake root cause analysis where appropriate.
* Endorse the Access Policy: ensure all admin staff are fully aware of the waiting list guidance and adhere to all local policies and procedures.
* Interpret and analyse data related to a patient's 18 week pathway using the Trust's computerised systems (e.g. CaMIS, HIVE, Somerset). Lead Access policy audits.
* Manage complaints in relation to the administration service: actively seek to resolve issues at the time of notification, acting within the Trust guidelines.
* In the absence of the Assistant Directorate Manager, attend performance meetings as required.


Education and Training Responsibilities

* Develop and maintain a stimulating learning environment for staff.
* Facilitate training programmes for all staff to develop levels of competency (e.g., induction training).
* Maintain and extend existing knowledge base for continuing self-development.
* Comply with hospital and departmental policies to provide a safe and effective working and patient environment.
* Receive and manage incoming and outgoing correspondence and interdepartmental communications.


General Tasks

* Use computer systems where appropriate, including email, internet, intranet and other office systems in accordance with Trust policies.
* Communicate with all levels of staff, outside agencies and members of the public in a professional and effective manner.
* Ensure Trust-wide standards are maintained to improve the quality of total care to all who come into contact with services undertaken by NGH.
* Maintain high data quality standards by ensuring that data entered onto Trust systems is accurate, complete and up to date.
* Undertake general office duties and organisation.

Recruitment Title: Administration Manager – Gastroenterology & Endoscopy

You’ll need outstanding managerial and organisational skills, which are essential for this role. You’ll also be an excellent communicator, able to work on your own initiative and with the motivation to deliver a first‑class service.

A deep understanding of NHS Trust RTT (Referral To Treatment) targets and deadlines, including the diagnostic pathway, is crucial. You’ll also need comprehensive knowledge of Inpatient Services and patient pathways.

In this vital role, you will provide comprehensive administrative leadership and service coordination to ensure the smooth and efficient running of the department daily. You’ll assist the Assistant Directorate Manager in meeting Key Performance Indicators, quality standards, and financial targets, and in developing the service according to Directorate plans.
