Job Overview
Due to maternity leave an opportunity has arisen to join the team of Executive Assistants (EAs) who support the Executive Directors at ESHT. The role is for EA to Chief Medical Officer / Director of Strategy & Transformation and offers a fast‑paced environment and a unique perspective into the workings of the Trust. The position reports to the Executive Assistant to the Chief Executive Officer and Chair on a day‑to‑day basis.
Main duties of the job
The following outlines the post holders key responsibilities:
* Provide a high‑level, complete and wide‑ranging executive assistant service to the Executive Directors, including all administrative support and ensuring the efficient and professional day‑to‑day management of the office for the Executive Directors.
* Project the Trusts vision as the first line of contact for the Trusts most senior management, acting with discretion, professionalism, and confidentiality at all times.
* Maximise and co‑coordinate the time of the Executive Directors and their immediate line reports to the greatest efficiency and value by working without supervision and in a pro‑active manner.
* Communicate complex business sensitive information effectively and appropriately on the directors behalf with patients, staff and colleagues in the Trust, external agencies and stakeholders and organisations.

Person specification
Qualifications
Essential criteria
* Educated to GCSE level including English and Maths.
* Typing / word processing RSA III or proven equivalent knowledge, skills and experience.
* Recognised secretarial / business administration / management NVQ level 3 qualification or equivalent level of knowledge and experience.
* Evidence of continued professional development to degree level or equivalent level of knowledge and experience.
Desirable criteria
* Shorthand qualification.
* ECDL or similar IT qualification.
* Project management qualification or similar level of experience.
Experience
Essential criteria
* Demonstrate experience of working at Director level gained over a significant period of time.
* Demonstrate experience of administration duties at Senior Management level.
* Demonstrate experience of managing an office at senior level.
* Experience of working with the public and handling difficult situations.
* Experience of complex diary management.
Desirable criteria
* Demonstrate previous experience of working at Executive level.
* Demonstrate advanced secretarial experience, preferably within a National Health Service (NHS) environment.

* Excellent written, verbal and listening skills across the range of staff groups and stakeholders.
* Advanced keyboard skills.
* Ability to take and transcribe formal minutes.
