Role Profile: The Travel Coordinator & Administrative Support role is responsible for ensuring timely and efficient coordination of all travel arrangements, both domestic and international, along with providing ad hoc office support and coverage for various projects as required.
Key Responsibilities
* Coordinate and schedule domestic and international travel arrangements, including flights, accommodations, transportation, invoicing processes, visa applications, and transfers. This includes managing complex fare structures, as well as flexible and non-flexible ticket rulings.
* Stay informed about changes in travel regulations. Regularly update client profile files and identify emerging travel trends and market developments.
* Provide support for travel-related inquiries after hours as needed, including amendments, curtailments, cancellations, boarding passes, and passport control queries.
* Maintain electronic travel folders, ensuring constant updates of passport copies, visa applications, accounting invoices, staff personnel changes, and related reports.
* Offer support to company travel bookers in other locations to ensure consistent and efficient travel management across the organization.
* Assist office staff with a variety of administrative tasks across all departments as required.
* Assist in organising conferences, including sourcing quotes, arranging logistics, and preparing agendas for external meetings and conferences.
Key Skills & Experience
* Previous experience in a travel booking role is beneficial but not required.
* Tertiary education is advantageous but not mandatory.
* A willingness to engage in further education in travel and administrative support, including courses and diplomas, is encouraged.
* Strong oral, written, and interpersonal communication skills.
* Proficiency in Microsoft Excel, Word, and Outlook is essential.
* Demonstrated ability to multitask and meet deadlines.
* Innovative thinking and the ability to work effectively under pressure.
* Strong organizational skills with a keen attention to detail.
* Ability to work both independently and as part of a team in a fast-paced environment.
* Adaptability to changing business needs and priorities.
* The role involves internal interactions with various business stakeholders.
Experience in working with shared folders and daily use of Microsoft Teams is required.
