Position
The Operations Support Assistant will support the Case Administration team by managing incoming communications (phone, email, post) and handling evidence and documentation related to medico-legal cases. The role requires excellent verbal and written communication skills, reliability, initiative, attention to detail, and proficiency with Microsoft Office applications. The post holder should have a good telephone manner and be able to work as part of a small team.
Details
* Hours: Full-time, permanent (Monday to Friday, 9am to 5.30pm, including 1-hour break)
* Location: 9 Chess Business Park, Moor Road, Chesham, HP5 1SD
* Accountable to: Case Administration Team Leader / Deputy Team Leader
Primary Responsibilities
* Providing a positive first point of contact for clients
* Managing telecommunications, including screening calls and assigning them appropriately
* Overseeing the administration email inbox and assigning messages
* Front-of-house duties, including greeting visitors and maintaining the visitor's book
* Updating the office calendar
* Scanning and processing confidential documentation onto the database, ensuring proper storage and GDPR compliance
* Managing administrative functions within the database (e.g., Evidence Missing, Evidence Issues, Royal Mail Tracking)
Secondary Responsibilities
* Processing requests and responses as allocated
* Liaising with other team members, including reports administration and report trainers
* Performing general administrative duties
References are required, and employment is subject to a six-month probation period.
