Overview

An exciting opportunity has arisen for a Band 6 Clinical Coding Team Manager/Supervisor. Based primarily at the Princess Royal Hospital in Haywards Heath, you may be required to travel between sites (Chichester, Brighton, Haywards Heath, Worthing) if required. You will lead by example to motivate others, with excellent communication skills and strong organisational abilities to manage a busy department under pressure.


Responsibilities

* Lead and line-manage a specified group of coders, ensuring 100% completeness within specified timeframes and taking action to address any shortfalls.
* Monitor team and individual performance, undertake appraisals and manage sickness and absence as Line Manager for the site.
* Organise and participate in departmental team meetings; respond to requests for information and advice regarding complex clinical codes and data flow procedures from clinical, administrative and information staff, and occasionally from external agencies.
* Provide a communication channel between the Trust Clinical Coding Service and NHS Classification Service Clinical Coding Advisors / National Clinical Coding Query Mechanism to resolve complex coding queries.
* Provide guidance on diagnostic and operative coding procedures and codes to clinical directorates, consultants, departments, Information Staff, Clinical Effectiveness, HED Benchmarking Working Groups, Primary Care Groups and Trust managers for audit, budgeting, monitoring and planning purposes.
* Supply information on coding to the Corporate Information Team and Finance Directorate for contract purposes and HRG assignment used in hospital funding.
* Lead ongoing development of the clinical coding process with respect to clinician involvement, data quality and streamlined processes; articulate PbR and HRG complexities to the team.
* Develop efficient processes and manage workloads of designated coders; ensure suitable staff coverage and progression of workload complexity for trainee coder development.
* Plan and implement internal coding audit programmes involving coders, clinicians and managers as required.
* Resolve coding queries raised by team members; interpret complex clinical information and ensure adherence to national standards; implement changes in coding classifications/guidelines and disseminate Coding Clinic updates.
* Obtain and collate clinical information from patient health records; analyse data and translate into Diagnosis and Procedure codes using ICD-10 and OPCS (latest versions). Ensure codes are accurate, complete and timely to support multiple Trust business streams and understand implications for the Trust.
* Ensure patient records are stored securely and tracked on the PAS system (Careflow); liaise with other Team leaders to maintain the Departmental Policy and Procedures Manual.
* Deputise for Head of Clinical Coding as required and represent the department at meetings and committees internal and external to the Trust.
* Responsible for ordering stationery for the Department and as authorised signatory for staff expense claims.


People Management and Development

* Line manage a specified group of coders and oversee meeting deadlines for assignment of clinical codes using ICD-10 and OPCS classifications.
* Support ongoing training of all Coding staff, check work as part of internal audits, and coordinate targeted external and internal training; maintain a training log for all staff.
* Undertake performance monitoring and appraisal for all Coding staff; work with Head of Clinical Coding on recruitment and selection; manage first stage of employee relations issues including sickness, absence and performance management.
* Approve timesheets and travel/subsistence claims for coding staff.


Learning and Development

* Commit to continuous self-development and undertake on-the-job and required training to maintain clinical coding skills.
* Attend mandatory training updates; undertake development work as agreed with line manager; achieve agreed standards of personal and professional development.
* Identify own learning needs and jointly plan training with the line manager; participate in the Trust's appraisal process to support high-quality patient care and service changes.
