Job Summary The Resource Coordinator role is a vital role which supports both the Service Design and Service Transition teams by ensuring the seamless and effective management of activity, by overseeing all requests and coordinating resource allocation. This role acts as a central point of control, ensuring process integrity through diligent governance, checking commercial and contractual documentation, and ensuring all design and transition prerequisites are met before work is assigned. By maintaining accurate reporting and analytics, the Resource Coordinator enables informed decision-making, workload forecasting, and utilisation balancing across the teams. Ultimately, the purpose of this role is to support the operational health and efficiency of both these busy teams, enabling them to deliver high-quality outcomes through precise coordination and robust administrative oversight. Key responsibilities Work closely with Service Designers and Service Transition Managers to build strong working relationships. Maintain both holistic and individual views of utilisation and forecasting. Review new requests for Design and Transition resources, allocate engagements to the respective teams that meet acceptance criteria. Set up engagements within the Asana project management tool and perform related administrative duties. Act as a central point of contact for Service Design & Transition engagements for the wider business, representing the teams’ brand and values with friendly and professional etiquette. Administer a variety of Design & Transition reports on a weekly, monthly, and quarterly basis. Provide project support to designers and transition managers as required and when capacity allows. Set up, attend, and chair meetings as required. Organise departmental meetings and events. Work collaboratively with the BDM and sales communities Champion a professional and proactive can-do attitude. Manage and maintain the coordination mailbox on a daily basis. Provide cover for the Associate role when capacity permits. Undertake any other additional tasks as required by the evolving nature of the role and the overall business objectives of the organisation. Qualifications, Skills & Experience Working in a collaborative / team environment Comfortable presenting to a wide ranging audience and working with all levels of stakeholders. Strong Microsoft Office skills, eg. Teams, SharePoint, Word, Excel, Outlook, PowerPoint. Working closely with Sales teams and in a commercial environment. Working in an Administrational role where attention to detail is crucial Outlook calendar/appointment management. Key competencies Ambitious, credible, motivated, and accountable individual with an appreciation for building meaningful and lasting relationships. Excellent communication skills, with the ability to clearly present in verbal, written, and presentation formats. A keen eye for detail with a passion for meticulous organisation and planning. Desirable A good understanding of CDW’s managed services, operational teams, systems and processes. Experience working across tools such as; Navision and Great Plains, ServiceNow, Asana, Viso. Experience working on or contributing to controlled projects of any nature.
