Description
To serve as a partner to senior stakeholders in the CCO, optimising their productivity by managing complex scheduling, correspondence, and project coordination. The Executive Assistant will oversee the execution of critical administrative functions, enabling senior stakeholders in the CCO to focus on high-impact initiatives. Additionally, the role will involve supporting global operations, maintaining confidentiality, and ensuring effective communication across time zones and business units.
Key Responsibilities
* Organise complex travel itineraries, ensuring the Market Leads are stress-free, including strategic planning of flights, accommodation, visa requirements, and expenses.
* Management and prioritising incoming communications and emails to optimise executive time, prioritising urgent matters, streamlining communication flows, and ensuring swift and effective action on critical issues.
* Handle highly sensitive and confidential information with the utmost discretion, safeguarding business-critical data and maintaining trust at the highest levels.
* Proactively manage and optimise a high-demand executive calendar, balancing priorities, rescheduling efficiently, and ensuring key stakeholders are engaged at the right moments.
* Lead and manage specific projects and events whilst providing project support for other business unit projects.
* Acting as a point of contact between the Market Leads and internal/external stakeholders.
* Raise and manage department purchase orders.
Skills, Knowledge & Expertise
* Experience in a commercially focused role working for an Executive with a global remit or experience working across multiple time zones.
* Previous experience in a PLC environment
* Ability for flexible working in order to provide ad hoc support to two Market Leads based in different time zones (UK & NA) when they are travelling in different time zones, e.g. to support when flights or hotel rooms are cancelled without notice.
* Exceptional organizational, communication, and time-management skills.
* Expert in managing complex calendars, high-priority meetings, and tight deadlines.
* Ability to coordinate multiple time zones and global business operations.
* Strong prioritisation skills to filter and manage non-essential requests.
* Handling of highly sensitive and confidential information with utmost integrity.
* Understanding of corporate governance, NDAs, and legal compliance.
* Proficiency in office software (e.g., Microsoft Office Suite).
