Stephenson Park Health Group, Garden Park Branch are looking for a part time Medical Receptionist / Administration Assistant to join our busy, friendly multidisciplinary team. The successful candidate will work at our Garden Park Branch. Hours of work per week will be 27, between 8am and 6pm Monday to Friday.
Our clinical system is SystmOne.
Main duties
Job Responsibilities:
* Action tasks set by clinicians via the clinical systems and email
* Ensure accurate data recording
* Manage the appointment system as per Practice policy
* Deal with all general patient enquiries, explain procedures and make new and follow-up appointments
* Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery via the computer system
* Enter requests for home visits, ensuring careful recording of all relevant details and refer to On-Call Doctor where necessary
* Enter patient information on to the computer as required
* Ensure appropriate information and/or contacts are noted on patient records
* Ensure correspondence, reports, results, etc. are scanned and filed promptly and in the correct records
* Code information contained within correspondence where appropriate
* Open up premises at the start of the day, deactivate alarm and prepare to receive patients
* When last to leave, secure the building, ensure windows are shut, lights off and alarm activated
* Undertake any other additional duties appropriate to the post as requested by the Branch Manager

JOB TITLE: PRACTICE ADMINISTRATOR / RECEPTIONIST
MAIN DUTIES AND RESPONSIBILITIES
JOB SUMMARY: To be responsible for undertaking a wide range of administrative duties. To act as the focal point of contact and be responsible for the dissemination of information, messages and enquiries for the medical team, liaising with multidisciplinary team members, other health professionals and staff within the practice.
* Ensure an effective and efficient administration service is provided to patients and any other visitors to the practice
* Action tasks set by clinicians via the clinical systems and email
* Ensure accurate data recording
* Manage the appointment system as per Practice policy
* Deal with all general patient enquiries, explain procedures and make new and follow-up appointments
* Use judgment and communication skills to ensure patients with no prior appointment but who need urgent consultation are seen as per Practice policy
* Explain practice arrangements and formal requirements to new patients and those seeking temporary cover; ensure procedures are completed
* Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery via the computer system
* Oversee and supervise the waiting area and explain any delays to patient appointment times
* Collate notes as per Practice policy
* Enter home visit requests and other necessary records; refer to On-Call Doctor as required
* Advise patients of relevant charges for private services, accept payment and issue receipts
* Enter patient information on to the computer; maintain patient notes and correspondence
* Ensure appropriate information and/or contacts are noted on patient records
* Ensure correspondence, reports, results, etc. are scanned and filed promptly and correctly
* Open up premises at the start of the day, deactivate alarm and prepare to receive patients; ensure security at close
* Ensure that all new patients are registered onto the computer system promptly and accurately
* Undertake any other duties appropriate to the post as requested by the Branch Manager

Disclosures
Disclosure and Barring Service Check: This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and a DBS disclosure check may be required.
Experience of working in Primary Care within a GP Practice would be desirable.
Experience: telephone operation, Microsoft Office, and working with the public/patients.
Salary
£23,500 to £24,800 a year FTE - depending on experience
