Job description
On behalf of our client we are recruiting for a Receptionist / Administrator
Hours of work: Mon- Thur, Frid 8am- 1pm
ROP: £ - £
Location: Ballymena Area
Duration: 7-8 months
Key Tasks:
To act as the first point of contact for visitors and callers to the business to ensure an excellent visitor experience. To undertake a range of other administrative tasks as identified by the Senior Management Team.
Front of House Duties
1. Greet and welcome visitors to the Offices between and 5pm, informing the relevant member of staff of their arrival.
2. To assist in organising hospitality of visitor and internal meetings Telephone/Mail
3. Process and deliver internal and external mail daily.
4. Operate switchboard from - 5pm; receiving and transferring telephone calls, announcing callers, taking brief messages, and passing these on via the email system or connecting callers to staff members personal direct lines.
5. Maintain and ensure that the answer message is appropriate
6. Review and update on a regular basis the staff contact, and telephone extension lists.
Administration Tasks
7. Provide administrative and general support to the business.
8. Monitoring and responding to email queries.
9. Assist with queries in a professional and efficient manner.
10. To complete mail merges to customers and employees as and when required
11. To assist sales department with customer service contact via telephone and post
12. Use of Internal IT programmes, for example to request purchases orders via Therefore/Sage
Travel
13. Assist in organising corporate travel via our online travel booking system
14. On receipt of the request, book taxis on behalf of members of staff and visitors
15. Process invoices and keep records to ensure costs are allocated to the relevant departments.
General
16. Switch on all lights and check cleanliness of the interior of the reception area, making a record of any poor levels of cleanliness or any maintenance issues and take necessary steps/action to remedy by contacting the Facilities Manager
17. Ensure that the kitchens are stocked with milk, sugar, tea and coffee and other hospitality items
18. Ensure that you treat those with whom they come into contact in a courteous and respectful manner in accordance with the Dignity at Work Procedure
