Description The Personal Assistant will provide full administrative support to the Project Director and wider BP Team and contribute to the smooth running of the project in order to exceed our client’s expectations LI-AW1 Responsibilities Costain plays a significant role in transitioning the UK economy to Net Zero by 2050. Our Energy Sector supports energy transition through existing asset efficiency and life extension, whilst we lead the decarbonisation of the UK’s energy infrastructure. We require a PA to support our project office in Teesside, where we are supporting Net Zero Teesside deliver the infrastructure needed to supply gas to the first-of-a-kind fully integrated gas-fired power and the Northern Endurance Partnership to design the carbon capture project and capture and transport CO2 from carbon emitting processes. These projects are the key driving force behind plans to make Teesside the UK’s first decarbonized industrial cluster Your responsibility as a PA is to deliver the administrative activities to successfully manage a major energy project in Teesside. Reporting to the Project Manager you will be a key member of the Project Team, responsible for the provision of support to the project functional managers in successfully delivering decarbonisation projects to our clients. This is an exciting opportunity to play a key part in Costain’s goal to transition our Energy Clients businesses to Net Zero Carbon. The role will require someone who is dynamic and responsive, with an ability to drive activities to successful conclusions. Key Responsibilities Support the team by organising internal and external meetings as required including arranging refreshments, office space, conferencing facilities etc Provide diary support to when require Undertake ad hoc administrative duties as and when required, ensuring accurate, timely delivery and that relevant policies and procedures are followed Collate and compose information and prepare reports, documents, correspondence, papers and presentations accurately and efficiently, to support the delivery of excellent service standards to internal and / or external customers. Create ahead of time to allow for reading and preparation Develop and maintain a central repository of documents that can be easily accessed, ensuring that a single method of file storage is adopted that can be accessed by all Prepare reports, minutes, presentations Book and set up meeting rooms and telephone conferences as required Taking meeting minutes Support with preparation of project materials, presentations, reports and other documents Create and collate regular reports as required Meet and greet visitors Create and distribute communications, presentations and other media. Administration and coordination of meetings, training courses, conferences and briefings if necessary. Ad hoc administrative tasks as and when required eg: filing, printing, scanning, copying documents etc Qualifications Role Requirement Previous experience in a similar role IT proficient. Experience with Microsoft Office. Good interpersonal skills Innovative, flexible and willing to adapt Ability to influence and persuade Proficient in the Microsoft Office suite and good general IT literacy Excellent communicator both written and verbally Self-motivated Be able to work to tight deadlines To be able to collaborate across a wide team and gather information Meticulous in data entry and checking quality of output Document control Excellent organisation skills Minute taking, booking meeting rooms, hot desks and managing diaries of senior management Pro-active and quick learner Good organisational skills and able to manage your workload. Knowledge of reporting, dashboards and KPIs desirable.
