Job Summary
Sadie Coles HQ is recruiting for an experienced and detail orientated Head of Operations to oversee day-to-day gallery operations and HR for the gallery.
Job Description
* Line manager to Archive Manager, Photographer & Videographer, Senior Registrars, Press Officer, Digital Communication Manager Gallery Assistants
* Ensure the day-to-day running of all gallery spaces with the GAs to ensure all the front of house duties are covered efficiently
* Monitor operational workflows within all departments to ensure efficiency
* Maintain the weekly staffing scheduling across all gallery sites to ensure appropriate levels of cover
* Regularly liaise with Accounts department to approve or resolve any operational payments
* Management & support of all staff including performance/ disciplinary/ annual reviews
* Oversee recruitment of new team members & subsequent probation reviews
* Coordinating induction of new staff, organising relevant training across the organisation
* Identify & source staff training, in for example H&S or computer programmes
* Manage & record staff data including staff holiday, sickness, and lieu days
* Ensure all documentation is legally compliant & reviewed including company policies, staff handbook and employee contract terms
* Monthly payroll report to the Finance Department
* Arrange and oversee new building works, and repair works as necessary
* Maintain strong working relationships with key suppliers, landlords and Building Managers
* Monitor the contractual obligations of all maintenance agreements and troubleshoot when necessary
* Ensure UK H&S Regs are met for all facilities & consistently reviewed - including sufficient first aid & fire marshals for sites
* Ensure Fire Safety Regs are met - maintaining contracts for all spaces for fire alarm testing, fire equipment, sprinklers and emergency lighting
* Ensure H&S for the use of equipment on site is up-to-date and followed by the Technicians
* Troubleshoot IT issues with external IT provider
* Ensure IT equipment is up-to-date and maintained
* Monitoring of the Artlogic database
* Maintenance of the existing IT systems, reviewing as required
* Management of mobile phone contracts
Job Requirements
Proven experience in a senior operational management role, ideally within the arts or creative industries.
Strong leadership and line management experience, with ability to oversee diverse teams (e.g. Archive, Press, Digital, Registrars, Gallery Assistants).
Experience managing HR processes including recruitment, induction, performance reviews, and disciplinary actions.
Strong administrative and organisational skills with the ability to multitask and prioritise effectively.
Solid understanding of UK employment law, Health & Safety, and GDPR compliance.
Proficient in managing contracts, facilities, and service providers
Ability to oversee budgets, approve operational payments, and liaise with finance teams.
Competent with IT systems and software management.
Experience managing the day-to-day operations of of multiple sites.
Prior experience working in a contemporary art gallery or related arts organisation is desirable
Job Responsibilities
The Head of Operations is a senior position, responsible for the smooth running of the gallery operation on all sites. This involves directing Human Resources, whilst supporting the Chief Operating Officer (COO) in managing gallery operations and procedures for all staff and departments to ensure professionalism, cost-effectiveness, and maximum efficiency.
Particular areas of responsibility are: maintaining all gallery operating systems, and the support and supervision of gallery staff. Essential in this position is the ability to plan long-term as well as respond quickly to the unexpected. Head of Operations and HR is a key role, and will involve developing strategies to maintain the smooth function of the gallery as well as the examination, initiation, and implementation of operational changes as necessary to grow or streamline Sadie Coles HQ Ltd.
