Personal Assistant to the Oncology Practice Development Team, Band 3 (25.5 hours a week)
The post holder will provide comprehensive and confidential administrative and project support to the Oncology/ Haematology Practice Development team. Working on their own initiative, they will be responsible for managing their own time and workload. With guidance and direction they will have delegated responsibility for arranging educational and training days and certain aspects of educational and quality improvement projects.

Main duties of the job
Organising nursing and HCA educational study days
Assisting with organisation of the University of Gloucestershire Advancing Practice module AP7031 Systemic Anti Cancer Therapies (SACT)
Organising nursing induction programs for new starters to Oncology
Reporting Staff competency
Meeting with managers to plan training needs
About us
Practice Development in Oncology Haematology is a small, friendly, highly functioning Education and Training team. We work closely together on many projects to improve the standards, education and quality for both staff and patients.
Job responsibilities
- To provide secretarial support to the Practice Development Team including typing correspondence and reports, arranging meetings, and taking messages, in order to facilitate the effective running of the department/service.
- Manage an electronic diary for Practice Development Nurses including making appointments, arranging meeting dates and venues, organising and distributing documents as necessary.
- To take, prepare and distribute minutes, agendas and papers to meetings chaired by the Practice Development Team.
- Organisation of induction programme for all new nursing staff in oncology, and coordinate 3, 4 and 6 month follow up meetings with the team.
- To develop and maintain a paper/electronic filing system in order to ensure that all relevant documents are ready accessible, in particular competencies and training records.
- To organise study days, book speakers, venues, refreshments and any necessary equipment required.
- Create and maintain databases for all training courses for the Oncology staff.
- Handle patient enquiries, arrange appointments and investigations. Typing correspondence to patients, staff and others as required
Person Specification
Qualifications, Knowledge and Skills
* Educated to GCSE grade C or above (or equivalent) in literacy and numeracy.
* Proficient typing skills and experience in using the standard range of Microsoft Office programs, particularly Word, Excel and Outlook.
* Able to communicate effectively and sensitively both orally and in writing
* NVQ level 3 in Administration or equivalent experience.
* Experience in the preparation of minutes, agendas and papers.
* Knowledge of relevant medical terminology
* Experience of organising meetings or events
* Appropriate experience in an office environment
